Program Coordinator, Scaled Spaces

My client is one of the Global Tech Companies that is looking for a strong events project manager to join their team as a Program Coordinator. This is a 12 month contract role, paying up to £55 000/annum PAYE pro rata. ​

The team helps budding creators build careers, creates products, and engages communities around shared passions and global conversations. Together, we empower the world to create, broadcast, and share. 

Our Spaces are state-of-the-art production facilities designed specifically for our creators and artists to produce digital video content, from production and editing through uploading to the platform. Run by our in-house experts, the Spaces serve as a creative production facility for both established and emerging creators and artists who are part of the Partner Program. Located in cities all across the world, Spaces enable creators to learn from industry experts, collaborate with other creators, and have access to the latest production and post-production digital video equipment. The Scaled Spaces team are responsible for scaling the Spaces experience beyond our 10 Owned and Operated and Syndicated Spaces. 

Role description 
The Program Coordinator, Scaled Spaces, will be responsible for supporting the regional Leads in executing Pop-up activations and other new initiatives. This role will be integral in providing consistency of experience for creators and stakeholders, and a high standard of delivery. 

You will work closely with an internal team and a network of vendors while directly liaising with Space employees. You will develop a work-flow and set of best practices to ensure consistency and quality of executions globally.

This person has a keen eye for detail, enjoys finding creative solutions and optimising processes, is results driven and an outside-the-box thinker. It is also imperative this person enjoys the challenge of managing a complex calendar with demands from many. 

Responsibilities: 
- Assist with running successful Scaled Spaces activations. 
- Development of a consistent set of documents and information that guide the planning process 
- Responsible for managing process deliverables to ensure Scaled Spaces projects are planned efficiently. This includes attendee lists, invite process and planning timelines. 
- Tracking and organising data into visual formats 
- Coordination with Regional leads and other Space groups on implementation of Space software and systems 
- Coordinate with vendors in market, and support the contracting process of said vendors with Business Operations and Legal colleagues 
- Localisation of assets (presentations, invites, sites) into local market language 
- Coordinate with security teams to ensure compliance with standards 
- Asset shipping logistics 
- Assist with data input and post event metrics to help ensure integrity of reporting and analysis 

Minimum qualifications: 
- BA/BS degree. In lieu of degree, relevant skills or equivalent experience 
- Three years operations related experience, ideally in an event or program based environment 
- Ability to manage multiple activations at various stages of development 
- Experience working across multiple stakeholders in project management or operations role 
- English fluency 
- Precision and attention to detail 

Preferred qualifications: 
- Ability to synthesise many points of view and conflicting information quickly and pivot with new learnings 
- Highly detail-oriented with both a quantitative and qualitative outlook yet at the same time an ability to step back and get the big picture 
- Knowledge of industry preferred 
- Familiarity or experience with our channels 
- Additional languages spoken fluently and idiomatically (For APAC: Bahasa or Thai or Hindi is ideal)
