Program Coordinator - (Event Logistics)

Aquent's client, an American multinational technology company specializing in Internet-related services and products, is seeking a Program Coordinator - (Event Logistics) for a 12–month assignment.

We are looking for an exceptional Program Coordinator to manage the operational logistics for a 1-year residency program for recent high-potential Computer Science graduates: Engineering Residency program. The program coordinator will play a critical role to ensure that the training and project rotation experience runs seamlessly for all Eng Residents (between 24-55 participants in each cohort, starting in March, July & September 2017). The coordinator will be embedded in the existing program team and focus on providing top-quality support for all aspects of the Eng Residency program, with the opportunity to go deeper in particular areas and make improvements in infrastructure along the way.

We are looking for a highly-motivated professional with demonstrated organizational and communication skills. Candidates need to be extremely proactive, responsible, detail-oriented and demonstrate a high-level of "scrappiness" (i.e., be a self-starter and get the job done).

Main Responsibilities:
- Manage day-to-day details of Eng Residency cohort experience and program logistics (note: different cohorts may be running simultaneously and at distributed offices)
- Own Eng Residency training schedule(s), including relevant room bookings and keeping track of schedule dependencies
- Oversee operations of all program events - panels, social events, workshops, etc.
- Manage relationships and communicate frequently with guest speakers and other volunteers
- POC to triage various logistical issues such as room set up and technology needs. Communicate with the proper channels as necessary to troubleshoot issues.

Responsibilities include:
- Anticipate the needs of team members, residents and volunteers to ensure seamless implementation of training sessions and meetings
- Assist Eng Residency Program Managers by scheduling meetings, keeping notes & agendas up to date.
- Use Google tools to keep participant and team communication organized (calendars, folders, docs, spreadsheets, forms, websites, groups)
- Partner closely with other Eng Residency Coordinators and Program Managers at distributed offices
- Participate in program development when available and based on your interests

Requirements:
- BA/BS degree required
- 2-3 years experience in Program Coordination
- Experience in project management, event planning, training coordination or similar background.
- Exceptional organizational skills and ability to work well in a fast-paced and dynamic environment.
- Strong written/verbal communication skills and great interpersonal and relationship-building skills
- Ability to navigate ambiguity and work independently
- Impeccable attention to detail

Nice to Have:
- Experience with Google tools (calendar, docs and spreadsheets)
- Passion for education a plus
