Program Associate

Our F500 Financial Services client is seeking a highly motivated, resourceful Program Associate to support their Spirit of Community Awards team. The individual must be able to:

• Effectively manage the program calendar via Outlook
• Utilize Microsoft Excel, Word, and Access to develop documents and correspondence as well as to create documents, data files and reports;  
• Screen, route and prioritize e-mails and telephone messages from the program phone message line and mail box
• Schedule presentations – reach out to certifiers, request dates, coordinate logistics, mail out materials both electronically and via UPS, follow up as needed (February thru June)
• Schedule meetings – set-up conference calls, prepare meeting materials, manage related meeting logistics (e.g., SameTime/VTC set up, conference room reservations).
• Prepare, submit and track general expense and travel vouchers through the Source2Pay system
• Help develop and maintain program database in Access
• Work on Cision media lists with program media person
• Serve as the point person for many department-wide responsibilities (e.g., ordering supplies, business continuation, records management, etc.).
• Perform other administrative support, as deemed necessary and appropriate
• Additional duties will include providing project coordination and support on assigned projects.
Qualifications
Minimum 2 years of experience in administrative support roles
• Excellent organizational skills and the ability to effectively juggle multiple priorities
• Strong attention to details and critical thinking skills
• Clear and concise written and oral communication skills
• Self-motivated; demonstrates initiative and is able to anticipate issues, provide realistic solutions, employ sound judgment and make timely decisions
• Demonstrated ability to work with / manage highly confidential information
• Comfortable working in a fast-paced and evolving environment
• Ability to work effectively under tight time constraints
• Flexibility to work overtime when needed
• A positive attitude and approach are essential
• Proficient in Microsoft Office Suite (Word, Excel, PPT), mail merge knowledge preferred
• Proficient in Microsoft Office Outlook mail program
• Have experience with Microsoft Access, proficient individual preferred
• Demonstrated ability to develop and manage relationships with internal and external partners
