Program Administrator

Our client is the world's largest company focused on integrated data warehousing, big data analytics, and business applications. Our client is seeking a Program Administrator to work directly with their Division President.

Key Responsibilities
• Liaise with the Field personnel, including sales teams in the US and internationally to set up major customer events.
• Interact with Customer’s personnel to negotiate timing of events, visits and engineering initiatives.
• Work with little supervision to prioritize and make effective decisions on events, customer and sales team commitments.
• Create a monthly newsletter, coordinating among various VPs for pertinent and interesting content.
• Compose and prepare documents, letters, and other correspondence as needed.
• Effectively and efficiently prepare presentation materials.
• Manage the organization charts of the Labs organization and key distribution lists
• Handle confidential information with the utmost discretion.
• Act as executive assistant to the Division President and report into various company tools such as I-Expense, People Soft, Time and Attendance, HR forms, Travel tools.
• Coordinate meetings, mail, files, supplies, calendars, conference calls, itineraries, and travel arrangements.
• Events arrangements and coordination with Corporate Events manager.
• Attend staff meetings and record minutes and action items. Follow-up on action items.
Work Environment
• This position must be located onsite at the San Diego office. Travel is not required.
• May be asked to work a flexible schedule occasionally when business need arises.

Skills & Attributes
• Ability to handle confidential materials using discretion is key; will be required to sign an NDA (non-disclosure agreement)
• Ability to multi-task and provide cross organizational support
• Strong written and verbal communication skills
• Excellent attention to detail and strong planning abilities
• Highly proficient in Microsoft Office Suite and Apple/MAC environment
• Ability to read, analyze and prepare responses to incoming memos, submissions, and reports with little supervision.
• Demonstrated ability to perform research, gather data, and do basic data analysis
• Strong work ethic
• High Achiever; strive for excellence
• Ability to handle phone, e-mail and face-to-face communications professionally and ability to negotiate.




Basic Qualifications
• Effective communication skills are essential
• Ability to work well with ambiguity and change
• Attention to detail, meticulous
• Proven organizational skills
• 10-15 years experience in similar positions. Adept at working with customers and their key personnel.
Education
• Business/Marketing degree or related course subjects
