Production/Traffic Manager

The Production/Traffic Manager is responsible for planning, executing, and evaluating projects to pre-determine timelines and budgets, and being accountable for all marketing projects in production. This position will work closely with the design and marketing teams to ensure that marketing jobs or projects are on schedule and on budget. You will provide an estimate of time required to complete each job, and clearly communicate expectations to team members and stakeholders.

Production Oversight (80%)
1. Initiate project into production process.
2. Develop the production workflow/process for implementation and monitor for continual improvement and refinement.
3. Manage production from initiation to closure, directing and re-directing resources as needed.
4. Set timelines, allocate resources, open and close jobs, and ensure that work is completed on time and on budget. Maintain accountability for project deliverables.
5. Attend kick off meeting and assess the details of the project to define the scope.
6. Review creative briefs, schedule daily studio workload, and manage work changes.
7. Gather specs and request ballpark estimated costs.
8. Work with key stakeholders to complete projects, outlining scope, goals, deliverables, required resources, timing, and budget.
9. Estimate effort for each task, and ensure that production stays within the parameters of estimated time and budget.
10. Oversee production efforts to ensure that they are on budget and on schedule, keeping project status reports up to date.
11. Provide a project schedule, estimate when each task will be performed, and drive projects to final stages of completion by keeping the team both on track and highly motivated.
12. Manage project scope by ensuring that any changes to scope are documented and approved.
13. Determine if external consultants / vendors will be needed to complete projects. If required, recruit and manage appropriate staffing resources. Define work; gather bids; order Purchase Orders; schedule jobs and follow-up.
14. Help manage departmental approvals from key stakeholders, review materials for final vendor release, manage release of materials to vendor.
15. Working with the Director of Analytics & Insights, Director of Integrated Marketing, and Director of Design determine how results will be measured and conduct a post-project evaluation to determine how well results were achieved.
16. Manage and oversee job-tracking software.
17. Coordinate the resources necessary for successful execution of digital projects.

Management and Communication (20%)
1. Communicate expectations to team members about marketing jobs in progress to ensure positive workflow.
2. Assist the Executive Marketing Director in continually boosting and maintaining the morale of marketing personnel through encouragement and mentorship such that the entire unit is working productively, efficiently, and collectively as a team.

Skills, Knowledge and Abilities

1. BA/BS in related field, such as Project Management, Business, Finance, or Marketing or equivalent combination of education and work experience. Preferred.
2. Five or more years’ work experience in project and/or marketing management.
3. Outstanding organizational, strategic and analytical skills to set priorities and manage multiple projects and perform efficiently and courteously in a fast-paced environment with a fluctuating workload, conflicting and competing priorities, and frequent distractions and interruptions.
4. Demonstrated familiarity with project management tools and software.
