The Production Specialist is responsible for all aspects of production, purchasing, and
project management for various types of marketing collateral and direct mail. This
person will work with vendors, internal team members, and internal stakeholders to
ensure projects are purchased while ensuring quality and cost effectiveness for a high
volume of projects, ranging from business cards to media kits.

Responsibilities

Project Management

 Manage all aspects of production with vendors on behalf of the internal partner
including outlining the schedule as agreed upon while updating as needed. Internal
partners will need to be regularly advised of project status. Part of the workflow also
includes entering invoices into an accounting system upon completion of a project.
Invoices are compared to the production order to verify accuracy.

Sales

 Build (or maintain) relationships with vendors to ensure they are aware of our brand
standards and quality expectations, including prompt invoicing.  Research potential
vendors and make selections based on manufacturing strengths and weaknesses

Communication

 Gather job requirements and manage the project to ensure the objectives of our
internal stakeholders are being met while meeting the budget. Ensure job
specifications are consistent with the agreed upon creative brief and communicate
any foreseeable issues (i.e. budget, schedule, etc.) with the internal stakeholders.

 Interact and interface with our internal partners providing consultation and guidance
with their creative and marketing campaigns, especially as it pertains to production
needs.

GENERAL

 Serve as the in-house agency expert on print specifications and estimation for print
production of multi-brand programs including creating vendor estimates, managing
tight production schedules, alerting team of deadlines, reviewing and approving
proofs, confirmation of deliveries, supplying detailed production orders, issuing and
archiving samples and reconciliation and approval of final vendor invoices for all promotional materials.
