Production Coordinator

The Production Coordinator helps manage scheduling and workflow between the Creative Services department and internal marketing departments such as Brand, OEM Conversion, Subscriber Acquisition and Retention, Winback, OEM, Promotions, Programming and Public Relations. The Coordinator will interface with these departments regarding design and production needs. The Coordinator also attends daily morning project status meeting and will also have general administrative duties including: filing job jackets, managing calendar/schedules and organizing meetings. 

Duties and Responsibilities: 

Attend daily 9:30 department status meeting. 
Job intake through the workflow tool (Zoom) and via email. 
Update project status via Google document. 
Interact with marketing partners regarding project intake and status. 
Monitor timelines and make updates in Zoom. 
Review and assess marketing revisions in Zoom, print revisions and route to creative services. 
Route proofs from external vendors for internal approvals (proofreading, creative, requestor). 
Coordinate shipping information and delivery deadlines with third party vendors. 
Ensure delivery deadlines are met and following up with third party vendors for tracking. 
File routing and completed job folders in appropriate cabinets. 
File printed samples. 
Perform ad hoc administrative responsibilities. 

Bachelor's degree or equivalent, relevant experience. 
2-3 years of related experience in an ad agency or in-house design department.

Interpersonal skills and ability to interact and work with staff at all levels. 
Excellent written and verbal communication skills. 
Ability to work independently and in a team environment. 
Ability to pay attention to details and be organized. 
Ability to project professionalism over the phone and in person. 
Commitment to "internal client" and customer service principles. 
Willingness to take initiative and to follow through on projects. 
Spelling, grammar, proofreading and editing skills. 
Excellent time management skills, with the ability to prioritize and multi-task, and work under shifting deadlines in a fast-paced environment. 
Must have legal right to work in the U.S. 

Technical Skills: 
Thorough knowledge of MS-Office Suite (Word, Excel, PowerPoint, Access).
