Policy, Government and Public Affairs Assistant

Our Oil and Gas client is seeking an Assistant for their Policy, Government and Public Affairs (PGPA) Business Unit. The primary focus of this position is to provide day-to-day administrative support to the Government Affairs Operations Manager and the Manager Federal Government Affairs (FGA) on all administrative services as well as, administrative support for other FGA team members as needed. The Assistant must be somebody who is self-motivated, learns quickly, anticipates needs, works independently and has demonstrated the ability to multitask. The successful candidate needs strong interpersonal skills, a keen eye for attention to detail and the ability to work effectively with a diverse workforce.

Responsibilities for this position may include but are not limited to:
• Event/meeting planning coordination including; scheduling, organize meeting logistics, scribe, disseminate meeting minutes and prepare agendas.
• Preparing presentations and drafting both internal & external correspondence.
• Research, compile and edit information for reports and make recommendations. Prepare drafts from notes.
• Set up and maintain distribution lists.
• Coordinate conference calls/bridges.
• Enter data into various databases for reporting protocols and archiving.
• Independently complete projects by gathering, organizing and summarizing information and preparing documents from general instructions.
• Research and recommend changes to existing systems and procedures.
• Assist other Operations and FGA team members as necessary.
• Coordinate international and domestic travel plans and meeting activities.
• Order & organize supplies, maintain inventory and compile receipts for various charges.
• Overtime may be required. 

Required Qualifications: 
• 5 years work experience as an Executive Assistant / Administrative Assistant in a high level, fast paced environment.
• Bachelors' degree required
• Advanced knowledge in Word, Excel, PowerPoint and Outlook/Calendar and SAP
• Demonstrated superior problem solving and critical thinking skills with strong attention to detail and excellence in the execution of administrative duties.
• Demonstrated ability to understand and satisfy customer needs and expectations.
• Excellent administrative skills: Demonstrated capability to maintain complex calendars and logistics; prepare manager(s) for meetings and other events; organize business conferences and meetings; handles activities with high confidentiality.
• Communicates in a clear, concise and effective manner with internal and external customers.
• Demonstrated ability to set priorities and meet deadlines.
• Empowers and energizes others by simplifying complexity, clarifying what needs to be done; and holding self and others accountable and recognizing contributions.
• Strong organizational skills and balance multiple assignments.
• Excellent listening, written and verbal skills, including strong proofreading skills.

Preferred Qualifications:
• Previous experience as an Executive Assistant or Administrative Assistant for a government office within D.C. highly preferred
• Previous experience as an Executive Assistant or Administrative Assistant in the Oil/Gas industry highly preferred
