Photo Desk Project Manager

Supports the daily activities of an editing team to enable the staff to successfully deliver photos within established timelines, quality standards and budgetary requirements. This is a fast-paced, high profile project that is just entering beta.

Interact with photo editors and headline editors for news, sports, finance, travel and popular culture, and manage scheduling and project communication to management and internal stakeholder groups.

Responsibilities
• Set up project meeting framework and cadence. Manage meeting agendas, minutes and action plans.
• Gather information from project team editors and stakeholders in order to diagram the publishing workflow from concept to published piece.
• Identify all points where data or files are handed off and approvals are made
• Add time estimates for the work at each step, and adjust with actual data after beta launch.
• Collect Plan of Record (POR) information for photo staffing:
o hours of coverage
o avg number of photos expected per day of week/time of day.
• Create a visualization of a schedule of requirements that can be adjusted for actual editorial plans.
• Translate the requirements schedule into a staffing schedule that becomes the POR.
• Effectively manage updates and changes to the POR, ensuring these are completed in a timely manner and with appropriate communication to relevant stakeholders.
• Use average number of photos per day to create a projected rate of spend for licenses.
• Monitor actual licensing spend against projections.
• Interact with project team editors, stakeholders and vendors to collect data that will enable project status against quality, budget and timeliness
• Monitor all internal and external milestones and schedules, applying timely & rigorous escalation when necessary in order to meet schedules and quality
• Facilitate risk and issue management
• Gather costs and other budgetary details and distribute to project management teams to enable timely financial planning and Purchase order creation
• Monitor project spend and flag budget risks and variances as appropriate in a timely manner
• Other tasks as assigned


Requirements
• Demonstrated extensive experience in project management (3-4 years).
• Competent in the use of MS Project or other appropriate Project Management software
• Demonstrated knowledge and experience of commonly used Microsoft applications (Windows OS, Office Suite)
