Mktg Communications Advisor - Budget Analyst

The Consumer Marketing Communications team is focused on developing and executing all communications plans across all offline and digital vehicles in Canada.

Key Responsibilities will include (but are not limited to):
Budget Management
• Maintain overall budget spreadsheet that ties to vendor funding and media plan
• Update and maintain Quickbase database to include weekly phasing of media vehicles and reconcile to overall media plan
• Liaise with US team for budget guidance and reconciliations

Vendor Funding
• 6 weeks before quarter begins, get budget and activities – create spreadsheet/breakdown
of activities by spend
• Work with Vendor Funding team to assign partners for each activity
• Update spreadsheet throughout quarter based on budget changes
• Respond to inquiries from Media Planning/Vendor Funding team/Production as necessary

Purchase Order Management
• Create and maintain spreadsheet/breakdown of activities by spend to vendor
• Liaise with team to get SOWs for each activity and update information to Quickbase
• Prior to quarter ending contact vendors and marketing leads to find out where we expect
to hit. Ensure every activity has Proof of Execution (POE) and confirmation
• Update Quickbase throughout quarter based on when purchase order get opened, received, closed, reduced, or budget changes
• Receive and collect POE as invoices come in
• Work with marketing team and vendors to reconcile and close purchase orders
• Liaise with finance to reconcile outstanding issues
• Submit and manage VP escalations
• Manage onboarding of new vendors or pass thrus
• Respond to inquiries from vendors and marketing leads about questions on their existing PURCHASE ORDER, new PURCHASE ORDER. Includes investigating whether or not things are on hold, been paid, been complete
