Mid-Sr Proposal Writer/ Technical Writer

Prepares documents and proposals by determining concept; gathering and formatting information; writing drafts; obtaining approvals. The Proposal Coordinator will be the main point of contact for the marketing department when the marketing manager is unavailable.

Proposal Coordinator Job Duties:
• Determines proposal concept by identifying and clarifying opportunities and needs; studying requests for proposal (RFPs); attending strategy meetings.
• Meets proposal deadline by establishing priorities and target dates for information gathering, writing, review, and approval; entering and monitoring tracking data; coordinating requirements with contributors; contributing proposal status information to review meetings; transmitting proposals.
• Gathers proposal/document information by identifying sources of information; coordinating submissions and collections; identifying and communicating risks associated with proposals.
• Develops proposal/document by assembling information including project nature, objectives/outcomes/deliverables, implementation, methods, timetable, staffing, budget, standards of performance, and evaluation; writing, revising, and editing drafts including executive summaries, conclusions, and organization credentials.
• Prepares presentation by evaluating text, graphics, and binding; coordinating printing.
• Maintains quality results by using templates; following proposal-writing standards including readability, consistency, and tone; maintaining proposal support databases.
• Obtains approvals by reviewing proposal with key providers and project managers.
• Additional projects as requested by management, including but not limited to: power point presentations, market research, tradeshows, press releases, newsletters, and partnership management.

Qualifications include:

• Proven success with proposal writing and enjoy collaborating with a team compiling large comprehensive proposals and responding to multiple RFPs, simultaneously.
• Flexible and excellence-focused attitude and is passionate about experiencing team wins.
• Ability to learn quickly, assimilate information and turn thoughts into written word.
• Collaborate well with others to meet objectives and are open to suggestions that allow you to produce superior work.
• Excellent time management abilities; able to prioritize time and resources efficiently, and prepare for and welcome the unexpected.
• Solid knowledge of MS word and use it as a tool to create aesthetically pleasing documents.

Key Performance Indicators:

1. Quality of Writing – a) By the end of the 1st year Management spends less than 10% of their time reviewing proposals beyond what is normally required. The right person requires less and less management over the course of the 1st year. B) The Scoring of Proposals –solid scoring marks from both the customers and the internal review board. Proposals are evaluated by effectiveness of the end result. (Persuasive, compliance, completion and future use-ability)

2. Deadline completion – Most RFPs turnaround is 2-3 weeks, larger efforts 1-3 months -100% of RFPs must be complete on time, and all milestones along the way must be met. Manuals can take 1-3 months, depending on release date of the product.

3. Ensuring Compliance - 100% of the sections requiring compliance meet written requirements per RFP and if they do not must have Sr. Management approval before submitting.
