Meeting & Event Planner

As the meeting and event planner for the International Division (focused primarily on UK & Ireland and Continental Europe/CIS/Turkey), you will be responsible for overseeing all aspects of the planning and execution for the my client’s meetings and events including Industry conferences.

Key Responsibilities include but are not limited to the following:
• Solid understanding of project management tools and the ability to lead and participate within cross-functional project team(s) to deliver integrated solutions to the client’s needs
• Excellent written and verbal communication skills
• Strong interpersonal, organizational, and leadership skills
• Establish and maintain project communications with manager, internal team and clients, including the company's Leadership, finance, graphic design, as well as with vendors
• Must have event protocol knowledge
• Must be strategic and have the ability to assess and manage risk within projects
• Excellent negotiating skills
• Possess strong creative instincts and sound business judgment
• Ability to learn quickly, and integrate strong event planning/marketing background with the Firm approach and brand guidelines
• Pro-active, organized, innovative and forward thinking
• Ability to multi-task programs and projects in a fast-paced environment with short timeframes
• Responsible for overall project management to include the following:
o Meeting approval process
o Budget preparation and reconciliation
o Venue/site evaluation and selection
o Contract review and negotiation
o Collateral creation
o Registration website content and functionality
o Determine vendors including production company, décor, etc.
o Creation of staffing plan and timelines
o On-site management of team and event including the registration process
o Post event analysis and survey

Requirements
• Bachelor’s Degree or equivalent
• Minimum 6-8 years conference planning and/or event marketing experience in complex corporate environment
• Exposure to demanding internal clients. Comfort with fast-paced, very high standards of service and responsiveness in an ever-changing environment. Understanding of business and social protocol
• Ability to lead team(s) to deliver integrated solutions to our client’s needs and ensure that the highest standards of project management are adhered to
• Credibility to influence internal clients in a consultative way; ability to navigate in a corporate environment, helping to anticipate needs and achieve desirable results
• Significant experience working with vendors to negotiate supplier relations and contracts
• Must possess excellent excel skills
• StarCite experience is a plus
• Hospitality background preferred
• Excellent financial/budget planning
• Flexible schedule as significant travel is involved

This individual will report directly into the Global Director of Events and work very closely with the Director of Communications, International and Head of Marketing, UK & Ireland
