Temporary Marketing/Proposal Manager

6 month assignment – Mid-April through Mid-October 2014 (dates are estimated)

Facility management company recruiting full-time Marketing/Proposal Manager for six month period to provide maternity coverage. Roles and responsibilities include:
- Review bid opportunities provided in bid services and forward viable opportunities to the appropriate person within the company for review
- Responsible for managing the proposal process from start to finish including:
− Requesting RFP documents
− Scheduling team meetings
− Ensuring deadlines are met (pre-bid meeting, questions and answers, bid submission)
− Assigning portions to different team members within the company and following up to ensure completion
− Keep team aware of any addendums
− Research available information such as the incumbent contractor and competitors
− Formatting the proposal document
− Writing the proposal response, including 1) reviewing information written in past proposals and customizing as appropriate to meet the needs of the RFP, 2) incorporating information received from team members and revising/editing as needed, 3) Creating and/or modifying transition plan Gantt Charts in MS Project and 4) proofreading and editing to ensure a cohesive and professional proposal
− Designing the proposal cover and any required diagrams or graphics within the proposal
− Completing all required forms
− Printing, binding and shipping
− Creating follow-up materials as may be requested such as BAFO requests or MS Powerpoint presentations
- Maintain weekly sales report, collecting updates from the sales team, collating and distributing
- Assist other departments with bids by reviewing paperwork, completing any missing information and ensuring compliance with all bid requirements
- Maintain current case studies
- Maintain lists of upcoming industry events for attendance by sales personnel
- Participate in weekly and monthly sales meetings
- Send out email solicitations regularly to attract new potential clients, forwarding leads to sales personnel for follow-up
- Support sales staff as requested including provision of marketing materials and creation of documents
- Additional marketing functions as may be required such as newsletter, advertising, website, etc.
- Receive support from and responsible for supervising Marketing Coordinator

Requirements:
- Ability to comprehend RFPs and write cohesive, persuasive responses
- Superior knowledge of MS Word
- Excellent writing and proofreading skills required, experience with proposal writing preferred
- Knowledge of Adobe Photoshop and MS Project preferred
- Knowledge of the facilities management industry and government contracting preferred
- Must work late as required to meet deadlines
