Marketing Project Coordinator

This is an exciting opportunity for a marketing project coordinator to support internal marketing in Vitamin T.  We are looking for someone who is a digitally savvy, highly-organized team member with strong communication skills to join our fast-paced environment. This role will be a great learning experience, and will provide the opportunity to execute digital tactics first-hand. The project coordinator can expect to receive significant exposure and hands-on, practical experience, participating in the development and optimization of digital marketing campaigns

GENERAL RESPONSIBILITIES

  • Provide administrative and data entry support to the VT Marketing department as needed
  • Assist in managing project documentation including project charter/creative briefs and intake meeting notes
  • Manage and track projects within Teamwork: create projects, schedule milestones, assign and manage tasks, track project communications within the project tool (rather than in email)
  • Ensure project files are saved and labeled properly in Google Drive. Ensure finals are in Drive include .psd or .ai source files (not just jpegs)
  • Project manage press releases with vendor
  • Project manager blog content calendar and website publishing

MARKETING SUPPORT TICKETS & FIELD SUPPORT

  • Manage marketing helpdesk requests and communication. Handle misc. field requests and reply to ideas or items to be added to queue 

CAMPAIGN SUPPORT – Typical campaigns include:

  • Direct mail piece (including trackable 800# and landing page)
  • Landing page
  • Swag (helping find/pick swag, ordering samples, getting quotes, determine quantities, order, distribute to field as needed)
  • Social creative and posts (project manage the design process, ensure they get posted)
  • Client emails (coordinate schedules, QA seed, communication with field)
  • Blog posts (project manage, proofread, QA)

DIRECT MAIL SPECIFIC SUPPORT

  • Coordinate with print lead and printer to determine schedule and lead times.  Determine target in-hand date and work backwards to determine when they will be sent to post office and need final files.
  • List pulling – assist in determining criteria and size of the send. Scrub and de-dupe lists
  • Prepare lists for the printer.  They required 2 spreadsheets: 1 for US and 1 for Canada with relevant mailing label info only. (Name, Address1, Address2, City, State, Zip only)
  • Prepare field version of the lists with ALL information (ie. client ID, phone, email, sales manager, etc.) broken down by Sales Manager / Market.
  • Communication to the field w/ example. lists and dates
