Marketing Project Coordinator

The Marketing Services Coordinator connects the business’s creative efforts with clients’ needs.

The primary function of this role is to execute marketing strategies set forth by Marketing Director and Account Management team. This role takes direction from the Sr. Marketing Services Manager and is responsible for meeting the needs of both clients and the creative services team while also identifying and facilitating process efficiencies that meet business needs.

This position requires an individual with exceptional interpersonal skills, a high drive for results and the ability to collaborate with a variety of personalities to execute end-to-end creative service requests. You must be a self-starter, comfortable dealing with ambiguity, and be able to influence at multiple levels. This coordinator must have deep product knowledge and be “in-the-know” of full suite of sales and marketing tools as the brand expert for clients.

This position requires proficiency to intake new projects and quickly assess requirements that enable the creative services team to deliver on those requests.

Routine tasks include collaborating with creative services to brief and check status of projects, updating status reports for clients, receiving creative changes from clients, relaying those changes to creative staff and tracking the account’s finances based on pre-set budget parameters. This role acts as the primary marketing liaison for internal and external clients and also advocates for the creative services team. Success in this role will be measured by 1) client and creative service satisfaction and 2) reduction of revision rounds as indicators of improved processes.

Marketing Services:
• Closely communicate with clients and creative services team (especially Traffic Manager and Art Director) on all projects
• Collaborate with Traffic Manager to develop and drive timelines and schedules on all projects
• Manage client expectations, especially keeping them realistic about timelines and delivering campaigns and reducing revision rounds
• Request mail data, as needed, and ensure that data is delivered based on project deadlines
• Exercise a disciplined intake process and filter and be able to determine which client projects can be managed in-house, which projects can be fulfilled with existing tools and which projects are outside of client’s scope of work
• Closely communicate with internal customers to gather and obtain project requirements in the form of a project brief and lead kickoff meetings with creative services team
• Form strong relationships with clients based upon an understanding of their businesses and their goals
• Collaborate with creative services to ensure project completion is on budget, on time and on quality
• Monitor client issues, deadlines and deliverables and handle them effectively and quickly
• Track project spend against budgets
• Proactive engagement with clients in order to anticipate new projects on behalf of creative services team, as well as manage client expectations
• Create pipeline of future projects and communicate up to creative services team
