Marketing Project Administrator

As a Project Administrator, you will be a member of our client's Global Marketing team within their Digital Experience department, reporting to the Project Manager. You will offer administrative and project management assistance help to ensure a smooth flow of activities through the department. The Project Administrator must ensure project workflows are on track to meet deadlines, communicate status updates, and any project challenges. This entry-level position will support the Project Manager and assist with all general administrative responsibilities. You are process friendly, detail oriented, a good communicator, and quality driven. You enjoy a fast-paced work environment, have the ability to adapt to shifting priorities, and are comfortable working within tight deadlines for a high volume of projects.

Skills: 

  • Review all incoming activity requests, answer questions, and assign workflows
  • Ensure project request information and all intake documents are complete and accurate
  • Process team suppliers/vendors paperwork
  • Submit and approve change orders in Agile
  • Provide back up duties for Project Manager
  • Maintain team processes and standards library at the direction of managers
  • Maintain digital asset library and fulfill image requests
  • Perform Image Manager duties and grant permission for publishing
  • Implement improvements to workflows in project management system
  • Input team activities/projects to accurately track time
  • Assist in managing workflows timelines, tasks, and provide timely updates
  • Generate reports as requested
  • Review concurrent projects using Aprimo Marketing Resource Manager or a similar tool
  • At the direction of supervisor, apply best practices for effective and efficient project coordination and reporting
  • Ability to multi-task, work well under pressure, and prioritize
  • Generate project data using standard reporting tools
  • Solid attention to detail and problem solving capabilities
  • Communicate clearly, promptly, and appropriately with Project Manager and key stakeholders about projects and processes
  • Ability to meet aggressive deadlines and provide quick turnaround in a rapid growth/rapid change environment
  • Solid organization and communication skills (oral, written)
  • Working knowledge of Microsoft Office (Word, Excel, and PowerPoint)
  • Some experience with Adobe design software a plus

Education:

  • BS or BA in Business Administration, Communications, Marketing, or related field
  • 1-3 years project management experience managing simultaneous projects preferred
