Marketing Production Coordinator

Our client is looking to hire a Marketing Production Coordinator for a long-term contract position. Under the direction of the Head of Media Planning & Production, this position fulfills a pivotal role in the production and coordination of the marketing team. Specifically, the candidate will assist with coordinating printing with vendors, processing invoices, and tallying monthly media metrics. The candidate must be detail-oriented, organized, deadline-conscious, innovative, and able to operate with a high degree of diplomacy.


Duties:

1. Coordinate, ensure delivery and distribution of print production for North America marketing programs.
2. Communicate with Project Managers and consult, recommend, capture, and send accurate information via email and internal project manage tools: Basecamp, Jira, Infowit, and other tools necessary.
3. Research print vendors and assess based on their performance, pricing, geography, and customer service. Manage vendor relationship for assigned vendors.
4. Allocate print projects among preferred/selected vendors strategically in order to balance workload and ensure on-time completions.
5. Track spend and report in on vendor experience/quality of work.
6. Create purchase orders for assigned print projects.
7. Handle invoicing for assigned print projects. Ensure that invoices are company compliant for expediting payment.
8. Code invoices in Oracle/Markview and SAP/e-payables and monitor until the payment is complete.
9. Research and reconcile late payments for all vendors and freelancers.
10. Manage the Media Team’s metric reports. Coordinate monthly updates, input formula’s, and ensure that totals are accurate.
11. Follow the direction of the Media Planning and Production Manager(s) for any related tasks. Perform other clerical duties as necessary.


Qualifications:
1. Print production knowledge is a must.
2. Minimum 1-2 years experience working in a marketing and print production role.
3. Bachelor’s degree in business administration, marketing or equivalent work experience.
4. Excellent verbal and written communication skills.
5. Strong organizational skills required. Attention to detail a must.
6. Advanced knowledge of core Microsoft Office programs including Word and Excel.
7. Experience with Oracle/Markview and SAP/e-payables preferred.
8. Dependable and able to take direction well.
9. Strategic thinking, ability to analyze current situations for best go-forward approach.
