Marketing Production Coordinator

Our top education client in Chandler, AZ is looking to hire a Marketing Production Coordinator for a six-month contract with the potential to extend for the right candidate.

Responsibilities:
This position fulfills a pivotal role in the production and coordination of third party vendor projects which includes creating purchase orders, managing contracts, processing invoices, tracking costs, and monitoring inventory at fulfillment sites. The Production Coordinator is responsible for interfacing with the program management team and ensuring accuracy and consistency of process and brand compliance. Responsibilities also include maintaining and updating internal project database, uploading images on fulfillment sites, and ensuring samples of final artwork is archived. The candidate will also be detail-oriented, organized, deadline-conscious, and able to operate with a high degree of diplomacy.

Duties:
1. Ensure the delivery and distribution of all marketing production projects are complete and meet their assigned deadline.
2. Open, manage, and complete all projects in our program management software (Infowit).
3. Provide regular status updates on current projects in our communication tool (Basecamp) with the key project team leads.
4. Gather quotes from 3rd party vendors and make assignments based on cost, schedule, and distribution.
5. Seek opportunities to save production spend where applicable including gang printing, digital alternatives, vendor selection, etc.
6. Establish and manage vendor relationships, track workload and spend, and report in on vendor experience/quality of work.
7. Complete required documentation for hiring 3rd party vendors and freelancers including purchase orders, W9, contracts, etc.
8. Process invoices and submit payments for outsourced 3rd party vendors and companies.
9. Warehouse new marketing collateral into inventory with appropriate tracking naming and numbers. Monitor stock and recommend replenishment when necessary.
10. Suggest and implement new procedures to ensure smooth operation of the Media & Production team.
11. Provide monthly and quarterly reporting on spend and inventory.
12. Assist the Media Planning & Production team with projects as assigned including fulfillment needs, premium orders, mailing, and contracting outsourcing needs.

Desired Skills:
1. Minimum 1 year experience working in a financial, marketing or operations role.
2. Bachelor degree or equivalent work experience in accounting, marketing, or detailed-orientated role.
3. Excellent communication, reporting, and summary skills.
4. Strong organizational skills required. Attention to detail a must.
5. Advanced knowledge of core Microsoft Office programs including Word, Excel, and PowerPoint.
6. Experience with project management software helpful.
7. Creative, resourceful thinker with a strong “can do” attitude.
