Our healthcare client is looking for an experienced Senior Events Specialist to join their team in their San Francisco office. The individual for this role should have a passion for event management, provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external partners.
This client requires drug and background screening.

The Senior Events Specialist will primarily be responsible for working with internal partners and outside vendors to flawlessly deliver world class events that drive successful results against strategic objectives and timelines as well as managing sponsorships for our Sales teams.

This role will report to the Manager, Marketing Engagement & Delivery, but will work closely with the Marketing Delivery team members, and partner with Marketing Strategy team members as well as Sales across lines of business. This is a contract position through the end of June 2015.

Responsibilities:
• Responsible for managing events from end to end; including the development of tactical plans and checklists with key milestones and deadlines, all details relating to budgeting, logistics, registration, catering, site visits, negotiating and securing event space, agendas, on-site management, contracts, managing invitation lists, follow-up and measurement.
• Lead the execution of assigned events and sponsorships of various size and scale designed to reach key audiences and drive leads.
• Coordinate details of events such as broker and consultant events, sales conferences, sales meetings, and open enrollment event logistics for key business segments.
• Manage and secure sponsorships for Sales team; including interfacing with sponsors, coordinating branding and materials with Delivery and Creative, and ticket purchase and distribution to Sales.
• Partners and manages outside event vendor to execute some events, ensuring the event runs smoothly, includes managing contract and serving as primary point of contact for vendor.
• In coordination with Delivery and Strategy manage invitation and registration lists and manage sending out invite and registration information using marketing automation/email management tool.
• Partners with Delivery team members on the development of event messaging, collateral and marketing channels and the steps to execute based on tactics; including preparing creative briefs, estimating costs, time schedules, resource allocation, and production schedules.
• Conduct pre and post event surveys as required and use learnings from survey to improve on events planning.
• Develop best practices for events planning and propose new ideas to improve the event planning and implementation process.
• Keep track of event budget for every event including check requests, invoicing, and reporting as well as contracts.
• Track all events with the ability to report out to sales leadership, Delivery and Strategy event success.
• Actively pursue creative growth and development through experience, exposure, and education.
• Provide functional and problem-solving leadership with creative teams and project partners, including Delivery Leads, Delivery Specialist peers, Marketing Strategists and Sales.
• Works with Manager to actively contribute to internal department initiatives, including updating and creating processes, creative outcomes improvements, documentation, tools, etc. as it relates to events and sponsorships
• Provide alternative point of view if event is misaligned or not in the best interests of the business partner.

Education/Requirements:
• At least 5 years event planning experience or in the Event/PR industry or similar.
• A BA/BS in a related field such as marketing or communications and/or equivalent combination of education and experience.
• Strong knowledge of marketing principles and practices.
• Ability to independently develop, implement and evaluate events.
• Knowledge of health plans and insurance products, services and their financial drivers, a plus, but not required.
• Ability to manage multiple events and work assignments
• Fantastic customer service ethic and high expectations for quality.
• Excellent interpersonal, negotiation and communication (written and verbal) skills.
• Excellent project management and organizational skills with attention to details.
• Knowledge of legal, brand, and regulatory compliance requirements for marketing health insurance plans.
• Ability to multitask with multiple deadlines and/or milestone requirements.
• Good analytical and quantitative skills with ability to use advanced features of Excel, PowerPoint, Word, Project or other event planning tracking tools.
• Ability to influence decision makers.
