Marketing Events Coordinator

Job Description:
The primary role of the Marketing Events Coordinator is to support the Marketing and Events Team for this incredibly desirable virtual technology company, in planning, producing and executing mid and large scale on the ground brand and product experiences at a variety of industry, consumer and proprietary events. The department coordinator will be the nerve center of the team, facilitating communication within and across departments to ensure that the group works cohesively and that the larger organization is abreast of their planning and activations.

The job requires excellent written and oral communications, an understanding of the event planning process, production time lines and requirements, and a passion for managing and communicating event data and details in a variety of formats. The role requires excellent multi-tasking and problem solving skills, familiarity with computer hardware and software and a love of spreadsheets, charts, data and, above all, organization.

This job includes modest domestic travel to execute events at major US trade shows, festivals and proprietary events. Events and executions focus around gaming, film and entertainment so enthusiasm for and expertise in gaming, music, film and digital entertainment a plus.

Responsibilities:
Manage invitee, attendee and housing lists and manifests. Manipulate, validate and upload data into various internal and external databases.
Manage name tags, convention and festival passes and hotel confirmations for internal and external guests and attendees.
Act as quality assurance for all registration, invitee and housing lists for events. Ensure synchronization across systems.
Oversee event project planning support including timeline, communications schedule, and project plan creation, tracking and reporting.
Input and manage information through internal shared documents and communication pages.
Manage asset trafficking and storage for all events and executions, working closely with vendors and Creative Services to ensure use of up to date images, logos, copy and legal waiver language.
Coordinate with Logistics to create and review packing lists and support inbound and outbound freight-handling in support of events.
Support event production onsite. Collaborate on process design for registration and check-in.
Partner in the training and coaching of hired registration staffers and help ensure that communications are consistent with the brand.
Organize and distribute agenda and visual materials for regular departmental synch and vendor calls.
Support vendor on-boarding and PO process in coordination with Marketing Events and Finance.

Skill Required:
Self-starter with excellent written and oral communication skills.
Strong computer software skills, including MS Excel, MS PowerPoint and Keynote.
Basic computer hardware understanding. Advanced knowledge of mobile computing hardware such as tablets and, mobile phones as relates to event technology and check-in.
Understanding of and familiarity with 3rd party web and enterprise applications for registration, housing management, email communications and invitations, event guide apps, payment processing and travel management.
Stay current on industry technology offerings and trends.
Understanding of PCI compliance as related to event payment transactions.
A proven track record of supporting large-scale marketing-focused events such as trade shows, conferences, meetings and events, including registration, data-tracking, analysis and reporting.
Ability to thrive in a fast-paced start-up environment, juggling multiple projects at once, working two and three quarters out but still prepared and able to execute spontaneous event opportunities or shifting priorities.
Availability and willingness to travel.
Passion for VR. Familiarity with gaming or digital entertainment a plus.

Education:
BA or BS required
