Marketing Events Coordinator

Our large financial services client, located in midtown Manhattan is seeking a temporary marketing coordinator to support client outreach initiatives. This is a full-time, onsite, contract assignment with 3 month initial contract period and potential for extension.

The coordinator will partner with marketing and event managers on the full life cycle of the event planning process, from initial coordination with the venue to onsite execution and reporting. The job requires interaction with colleagues on the Americas events, sales, marketing, and product teams, leading to events that increase client business, deepen existing client relationships, and maintain brand standards.   

Event planning responsibilities include: 

• Supporting the team in delivering “best in class” event standards 

• Scheduling speakers (via shared outlook calendar) 

• Liaising with internal teams to ensure event content is compliant and meets brand guidelines 

• Coordinating logistical and audio visual requirements  

• Researching sites/venues 

• Producing event collateral such as agendas, name tags/tents and signage 

• Working with the project team to build registration sites and invitations 

• Managing the entire invitation process and attendee manifests  

• Building and sending reports  

• Liaising with the corporate travel agency (when required)  

• Supporting on-site meetings

• Insight - ability to understand the unique needs of the business and manage accordingly

• Interpersonal Effectiveness - establish rapport and maintain productive relationships with individuals across multiple disciplines  

• Strong attention to detail 

Qualifications: 

• 1 - 4 years of event management experience preferred and/or related internships   

• Excellent knowledge of (or strong interest in) logistical and production elements   

• Demonstrated grace under pressure 

• Excellent communication skills 

• Strong interpersonal skills with an ability to work well with clients and vendors   

• Excellent computer skills to include Outlook, Excel, Word and PowerPoint   

• Ability to be work long hours when needed
