Marketing Coordinator

This position is a part time (20 hours a week) working support position requiring a sharp focus on details and quality. Responsibilities include supporting Media Planning & Production Team in all aspects of production logistics including financial processes: Creating purchase orders, completing freelancer agreements, processing invoices, and payment reconciliation. Must be able to thrive in a fast paced, ever changing environment and to meet set deadlines. Must be able to successfully multi-task, have good organizational skills, and excellent communication and interpersonal skills.

Duties:
1. Coordinate and facilitate freelancer marketing needs for North America Marketing Programs. From project start to finish, manage freelancer processes including involvement in project intake, gather estimates for all work, and complete and submit necessary documents with the vendor prior to payment.
2. Establish freelancers in internal systems including Oracle/Markview and Infowit, by completing all written documents including Freelancer Agreement/Exhibit A, purchase orders, and more.
3. Receive freelancer invoices, process and code according to the project details, charge codes, and submit to Accounts Payable for payment.
4. Update and maintain central approved database by vendor type, availability, price and quality of work. Work with Creative and Video teams to ensure list is up-to-date on a quarterly basis.
5. Research and reconcile invoices in question.
6. Set-up methods for payment with international vendors.
7. Provide monthly and quarterly reporting on freelancer use and spend by client and vendor type.
8. Assist the Media Planning & Production team with projects as assigned including fulfillment needs, premium orders, mailing, and contracting vendor needs.

Desired Skills:
1. Minimum 2-3 years experience working in a financial role.
2. Experience in marketing operations and/or a marketing production role helpful.
3. Bachelor degree or equivalent work experience in accounting or marketing.
4. Excellent communication, reporting, and summary skills.
5. Strong organizational skills required. Attention to detail a must.
6. Able to meet deadlines.
7. Advanced knowledge of core Microsoft Office programs including Word, Excel, and PowerPoint.
8. Experience with project management software helpful.
Creative, resourceful thinker with a strong “can do” attitude.
