Marketing Communications Manager

Major Accountabilities:
Provide communications consultation and guidance to internal stakeholders helping them articulate, develop, and clarify communication objectives and expected outcomes.

•Consulting activity will vary from verbal communications or advice on communications issues to providing written customized communications plans.

•Strategize with client, write creative briefs, research and analyze information, prepare presentations (talking points, FAQs, summaries), plan logistics, and manage overall coordination.

•Originate, develop and implement short and long-term communications plans and tactics to fulfill the objectives of the region or stakeholder, always conscious of the strategic goals of the Senior Leadership Team

•Leverage knowledge from multiple sources including Program Office, marketing, medical operations and other sources.

•Ensure internal communications activities are consistent with the Kaiser Permanente brand in terms of tone, manner, and messaging.

•Manage and complete multiple assignments in agreed time frames and coordinate diverse projects and activities into a cohesive and strategic program for a single client or for a program.

•Decide appropriate solution for problems that arise during projects and manage projects as assigned.

•Negotiate scope, budget, and objectives of projects.

•Advise client of budget responsibility and obtain needed approvals for project and content expenditures. Provide cost and time estimates to clients for each project. Educate clients about the cost effectiveness of electronic communications and encourage the use of new media.

•Keep up with new trends in communications technology, including new and social media and other web-based platforms.

•Implement measures to determine effectiveness of communications programs and create plans to improve results.

•Write and edit straightforward and simple content for KPNW internal communications programs and projects including materials for newsletters, Web sites, tool kits, and other forms of internal communications to support the region’s strategic communications requirements.

•Proofread and coordinate the production of communications materials. Ensure final placement of materials, including distribution, and provide miscellaneous follow up.

•Update content of stakeholder-specific and project regional or Program-wide web pages.

•May supervise coordinators/junior staff for the purpose of implementing specific communications projects, events, or programs within a given timeframe.

•Communicate clearly across the communications team expectations, accountabilities and project instructions.

•Plan, develop, and implement production schedules and coordinate deadlines with writers, designers, and print production coordinator.

• Coordinate the workflow of projects between department staff.

• Schedule meetings with writers, graphic production, print buyer, and fulfillment as needed.

• Advise department managers on communication issues, client needs, and department workload.

• Coordinates the deliverables of other communicators in the organization to ensure that special projects are in compliance with negotiated timelines/financial allocations.

•Consult with Print Buyer and Fulfillment supervisor to assure feasibility and cost effectiveness of proposed designs.

•Review and approve digital proofs before projects proceed to production.

Ensure timely and accurate fulfillment/distribution of all materials.

•Provide mentoring to support staff, including guidance and training in project management and effective client interaction.

•Train staff to provide effective back-up support through cross-training in specific tasks.

•Provides professional/technical guidance to other team members.

•Offers insight to others regarding existing concepts, processes and/or methodology
•Maintain accurate, complete, well-organized file system for projects.
• Track projects through department using department database "Protrack" and ensure timely delivery of assigned projects.

• Ensure that all data in the job-tracking system is current.



Preferred Experience:
•Masters degree in marketing communications, business, or related field
•5+ years experience in integrated communications/PR department or advertising agency
•4+ years experience in a design firm, production house, in-house corporate communications department or advertising agency as an account executive, marketing executive, writer.
•1+ year/s of recent experience in planning and implementing complex communications plans and projects for a large complex organization, agency and health care background required, with track record of increasing responsibility.
•2+ years experience as a communication consultant (CSC I)
•2+ years experience in a consultative/advising role with clients/stakeholders
•Experience setting and managing budgets.
•Experience with earned and social media.
