Marketing Communications Coordinator

Our client, an educational company, is looking for a temp Marketing Communications Coordinator. This will be onsite, full time hours for two months.

Project Management (50%)
- Work with outside vendors, internally within the Marketing department and with external vendors to develop a schedule or timeline for the delivery of marketing and creative materials.
- Monitor the flow of materials or resources throughout the process in order to ensure on time delivery.
- Develop work schedules to ensure that work is delivered on time.
- Monitor communication and work between the Marketing department, the institution, and various departments to ensure that work is progressing on schedule.
- Process work orders in MTS.
- Assign job or work order numbers and distribute work orders to assigned team members.
- Input all estimates into MTS or work order system and distribute copies to the Project Manager and Marketing Managers.
- Obtain approvals on invoices from management.
- Route invoices to Business Manager for billing.
- Maintain accountability through metrics and perform weekly accounting of the percentage of jobs being done on time or late. If a job is late, monitor the new projected due date.

Trafficking (30%)
- Traffic all jobs within the marketing department.
- Coordinate and interact with external vendors as needed.
- Monitor status of jobs or work orders in progress daily.
- Prepare weekly job status reports for the Project Manager, Marketing Managers, and members of the Design & Production team.
- Conduct weekly traffic meetings to keep all team members up to date.
- Route and distribute copy to team members for review.

Catalog, Collateral, and Web Production (10%)
- Assist the Project Manager with the successful production and publication of the catalog, collateral and offline assets.
- Coordinate the resources necessary for successful execution of digital projects.
- Ensure that all creative assets adhere to brand guidelines.

Troubleshooting and Communication Skills (5%)
- Troubleshoot problems in order to ensure projects or processes remain on schedule.

Departmental Projects (5%)
- Perform administrative duties as directed by the Project Manager, such as the development of marketing department wide emails or correspondence.

Qualifications Required/Preferred
- BA/BS in related field, such as Project Management, Business, Finance, or Marketing or equivalent combination of education and work experience.
- At least two years’ work experience in project management and/or marketing management.
- Demonstrated familiarity with project management tools and software.
- Skill in balancing multiple priorities and the flexibility to work with changing priorities and interruptions without sacrificing quality and accuracy.
- Demonstrated ability to be solution-oriented.
- Ability to effectively resolve day-to-day work-related problems with minimal supervision.
- Basic proficiency with strategic, operational, and technical marketing and management skills.
- Ability to represents the marketing department effectively and professionally with media, suppliers, and program departments.
- Demonstrated skill in writing correspondence and reports using proper grammar, punctuation and syntax.

Working knowledge of standard computer office applications such as Microsoft Outlook, Word, Excel, Access, PowerPoint.
