Marketing Collateral Project Manager

Our client is seeking an organized Project Manager to facilitate a marketing collateral audit to identify outdated and inaccurate communications, while updating and creating necessary new materials. As part of this role, you will be a top-notch unifier partnering with many teams within this matrix organization to gather stakeholders and gain consensus, while maintaining an inventory and timelines to deliver a clean set of materials that meet the needs of the business.

Within this role, the PM will need to get a clear understanding of the Product and Sales team’s requirements for communications for a variety of products and multiple audiences and translate the information into clear instructions for the Creative team.

Job Duties and Responsibilities

Lead:
• Be a creative thinker
• Facilitate team and client meetings to reach consensus effectively
• Continually seek opportunities to increase client satisfaction and deepen relationships.
• Motivate team to work together in the most efficient manner
• Create and execute project work plans/timelines for team and revise as appropriate to meet changing needs and requirements

Organize:
• Audit and maintain knowledge of deliverables for communications
• Manage day-to-day operational aspects of project and scope
• Create best-in-practice workflow scenarios for the different members of the team
• Maintain the project status spreadsheets
• Organize and attend meetings with various groups within the marketing organization to appropriately plan the work
• Maintain and distribute meeting/project reports in order to document progress and deliverables.

Communicate:
• Communicate effectively with clients to identify needs and evaluate related communications
• Mitigate team conflict and communication problems
• Effectively communicate relevant project information to superiors
• Deliver engaging, informative, well-organized spreadsheets and presentations
• Manage expectations proactively - by providing full disclosure of project status, budgets, changes and actions

Quality & Efficiency:
• Know your deliverable
• Review communications prepared by team before passing to client
• Effectively review for brand compliance and enforce project standards
• Prepare for client reviews and quality assurance procedures
• Monitor quality, accuracy and timeliness of all deliverables to ensure client commitments are met
• Keep looking forward – continually auditing templated sales materials and supporting the development of custom / on-demand communications
• Manage project budget – track team progress weekly
• Effectively utilize each team member to his/her fullest potential
• Keep track of lessons learned and shares those lessons with team members
• Establish basic scope control procedures. Develop documentation; monitor and report project status; assess the effectiveness and accuracy of documentation
