Marketing Assistant

Aquent’s Sunnyvale top global mobile solutions client is looking for a witty, organized, responsible, self-starter to join their team and provide marketing assistance! If this job sounds interesting… keep reading!

The Marketing Assistant will:
• Manage and maintain individual and team calendars
• Coordinate and manage travel arrangements
• Prepare expense reports in a timely manner
• Assist team members with the purchasing of business cards, laptops, mobile phones, SIM cards, etc.
• Liaise with other organizations to ensure all team members are fully equipped with mobile phones, laptop, badge, work stations, accounts, conference call numbers, access to printers, etc.
• Document management and reporting
o Maintain on-line and printable organizational charts and related distribution lists
o Send out reminders for monthly management reports; support managers with monthly reporting requirements including weekly dashboards of key metrics of the business
o Create, update and manage web tools such as wikis
o Create, update and edit MS office documents - PowerPoint, Excel and Word
o Ensure that all documentation is kept up-to-date, administers access rights to tools, shared drive, etc.
o Copy, fax and mail as appropriate
• Event Coordination
o Schedule meetings and procure rooms/resources
o Work with Workplace Resources to ensure the room set-up and technology works as requested
o Order and manage catering services
o Ship marketing materials and collateral
o Set-up webinars, record presentations, etc.
o Organize team building events
• Miscellaneous:
o Act as the point of contact for demo phones
o Other duties as assigned
Requirements:
• Associate's Degree or equivalent
• 2+ years experience in related field (Marketing experience is a plus)
• Strong working knowledge of MS Office - Word, Excel, Outlook & PowerPoint, and online tools such as Microsoft LiveMeeting, wikis, webinars, etc.
• Ability to work/complete tasks with minimal supervision
• Keen eye and attention to detail
• Exercises sound judgment, tact, diplomacy and professionalism along with demonstrated accuracy, thoroughness and follow-through
• Positive, can-do, FUN attitude a must
• Flexibility and willingness to support the needs of a team
• Strong written and verbal communication skills required
