Lead Administrator - Engineering

My client is a Global Technology Company, looking to fill a maternity leave position for 11 months. This is a PAYE role paying £45 000/annum pro rate + (Depending on previous experience).

We are seeking an experienced Admin Lead for our ever expanding London office. This is a full- time maternity cover role reporting to a Director.
We are looking for an intelligent, efficient, self-starter with an ability to operate effectively in a fast paced, changing environment.
Being a team player is key as you will lead a team of 7 Engineering Admins as well as being part of a wider team of 25+ Admins
in the London office alone.

Admin Leadership
* Conduct regular 1:1s with admins on the team to connect and relay information
* Oversee Admin on-boarding, development, and mentoring
* Establish cadence of admin team meetings, off-sites, training days, events, etc
* Monitor admin work load, determine need for additional headcount to ensure the efficient operation of the function
* Point of contact for admin escalations and queries
* Provide PTO cover for admins
* Ensure email groups, aliases, org charts and other administrative systems are maintained and current
* Drive collaboration between Engineering , Business Ops and Engineering admins, as well as regularly sync with Global admin leads on site projects
* Lead meetings with facilities, events, IT, etc & admin team
* Manage Mentor/Buddy programme in London

Events
* Strategically lead, build and oversee the internal events program and various events for London office working with other office partners to ensure a great experience for all employees
* Hire and manage external event production vendors
* Leverage local admin team in event planning
* Define role and hire engineering events support
* Track budget for office events, company events
* Determines the Engineering events for the year and delegates event coordination
* Own decision on venues, theme, catering for Company Events.
* Define and own budget for office social, tech, HR events.
* Work with finance on site-wide budget allocation

Internal Comms
* Partners with the EMEA Internal Comms Manager on site-wide messaging
* Regularly participates in threads in the internal groups
* Contributes with content for Site D&T, All Hands, etc
* Organises Tech Talks for the office
* Delegates wiki resources
* Helps the EMEA Internal Comms Manager to manage exec visits to London site and maximise their time spent meeting people, hosting & moderating Q&A, etc

Facilities and Operational Support
* Partner with Facilities and Culinary leadership to make space and food options in line with company & office culture.
* Acts as front-line support for facilities issues
* Partners with Facilities for moves and space planning
* Ensures consistent quality of service from vendors
* Makes decision on most office-related issues
* Acts as escalation path for office related issues, concerns, feedback and suggestions and triages accordingly

Influence at work
* Work with the Domain Leads and HR to manage all landing team/integration events/initiatives with the aim of creating a strong culture for Engineering
* Partner with Site Builders to integrate their activities/initiatives across the office (scheduling, content, event support)
* Keep the Site Leadership informed on office-wide plans, initiatives, and specific asks
* Initiates and maintains office-specific programs
* eManagers community support with scheduling of complex meetings, events, etc

* Several years administrative experience including support of Director, VP or C-level executive
* Proven superior planning, organisational and time management skills, including diary management
* Experience prioritising multiple projects and working with cross functional teams
* Excellent communication and team building skills
* Experience planning events and space management
* Used to dealing with sensitive and confidential matters in a discreet and professional manner
* Ability to work under pressure on own initiative and to tight deadlines
* High-level of attention to detail and accuracy
* Must be a self-starter and adaptable to a dynamic environment
* Excellent knowledge of MS Office Suite
* BA/BS
