Jr Administrative Assistant

Reporting to the Account Director, the Administrative Assistant will be responsible for a broad range of
administrative duties and for providing a first point of contact, reception services and front line support.
You will manages the overall visitor experience and ensures that the office operates
efficiently.

 

What you’ll do:
 Answer incoming calls in a professional, courteous manner and accurately direct phone inquiries
to the appropriate staff member
 Reply to general information requests with accurate information
 Receive visitors including clients and suppliers in a professional and friendly manner
 Sort mail, faxes and deliveries for distribution; prepare and send outgoing faxes, mail, and
courier parcels
 Forward emails received by the general information email account to the appropriate staff
member
 Forward voice mail from the general mailbox to the appropriate staff member
 Purchase, receive and store office supplies ensuring basic supplies are always available
 Maintain master schedule of room bookings
 Facilitate new hire process (this includes creating a welcome package and letter, arranging keys,
business cards, etc.)
 Perform administrative tasks requested by management
 Coordinate office equipment maintenance

 

What you bring to the table:
 A minimum of 2 years of industry experience
 Superior customer service skills
 Excellent verbal and written communication skills
 Experience using Microsoft Office Suite products (Word, Excel, PowerPoint, Outlook)
 The ability to handle confidential information
 The ability to work in a team environment and demonstrate a professional and friendly manner
 Strong organizational and problem solving skills
 Meticulous attention to detail
