Governance Assistant

Our client is an awesome organization committed to promoting voluntarism, developing the potential of women and improving communities through the effective action and leadership of trained volunteers. They are looking for an assistant to do proofreading, editing, website content, PowerPoint, and social media.

Reports to: Governance Coordinator
Department: Governance and Executive Office
Position Overview: Provide administrative and clerical support to all aspects of the Association's
Governance Department and the Executive Director, as needed.

Responsibilities and Essential Functions:
o Provide support in all aspects of information transfer and routine administrative tasks for the
AJLI Board of Directors and Governance Committee including formatting and maintaining
paper and electronic resources; managing routine reports that track Governance leaders'
activities; preparing materials for Board and Governance Committee Meetings, Conferences
and Governance visits; processing and disseminating materials for the Association's Call to
Conference; and answering routine inquiries and fulfilling routine requests from Board,
Governance Committee and Junior League members.
o Assist with meeting logistics including coordination of travel schedules, catering orders,
supply orders, mailings and other evenVmeeting needs as they arise.
o Provide general administrative support to the Executive office as assigned.
o Back up receptionist as scheduled.
o Participate in cross-functionalwork groups as assigned.
. Work on special projects as assigned by supervisor.

Required Skills and Gompetencies:

Good follow-up skills
Strong customer service orientation
Experience with social media networking and web-based research
Ability to create, maintain and adjust organized filing systems, both hard copy and electronic
lntermediate to advanced Microsoft Word, PowerPoint and Excel skills, including experience
with Excelworkbooks
Ability and willingness to ask clarifying questions
Good listening skills
Ability to juggle multiple tasks
Flexibility in taking on varied tasks, often on short notice
Ability to work independently within procedures, or as part of a team
Ability to travel in order to staff week-end and full week conferences and/or Board meetings
several times a year - availability for overtime and week-end work

Additional Skills and Gompetencies which will be helpful:
o Meeting, event or travel logistics experience
. Proofreading / editing skills
¡ Willingness to learn new computer programs and online functionalities

Required Experience and Education:
o Minimum of a Bachelor's degree or an Associates' plus 2 years' previous work experience in
similar functions
o Customer service experience
o Previous not-for-profit experience a plus, preferably in an affiliate-based membership
organization
