Fleet Administrator

One of our valued clients in the oil/gas industry is seeking a Coordinator for their Fleet Management team. This is a long term open-ended temporary opportunity onsite Monday - Friday at our client's office (Galleria area). Candidates must be Houston-based. Client is mostly interested in candidates who have some kind of Fleet experience and/or customer service experience.

Candidate will work in the web-based systems that track fleet vehicles, spreadsheets, tracking maintenance, etc., reporting for management.


Purpose:
 To assist in the effective and efficient management of the fleet vehicle assets.
 To manage the databases of fleet vehicle information and ensure accuracy.
 To provide customer service.

 Field office supervisors and management
 Fleet vehicle drivers
 HSE
 HR

Core & Accountabilities
 Updates data in the Fleet Management System and the concurrent database to ensure data accuracy at all times.
 Monitors fleet vehicle compliance with federal and state regulations.
 Monitors maintenance activities and accident reporting.
 Supports fleet vehicle ordering process, fuel PIN requests, MVR checks, and DOT compliance.
 Acts as liaison between Facilities Department and field office personnel, to assist with driver issues.
 Assists with research on establishing new service providers for maintenance / repairs / body work near the field locations.
 Manages on-site fleet vehicles’ maintenance schedule to ensure maintenance performed.
 Assists with the process for vehicle transfers, purchases, disposals and repairs.
 Keeps vehicle information accessible by sorting, organizing, filing and retaining required documents.
 Helps to prepare reports and information used to provide recommendations for vehicle rationalization.
 Assists in the analysis of data, generates and contributes to various scheduled- and on-demand reporting.
 Organizes and supports installation projects for field fleet vehicles.
 Provide guidance to system users.
 Back-up Fleet Manager, as needed.

Qualification
 5 years customer service experience required
 5 years in the fleet industry preferred
 Associate’s Degree preferred
 Proficient with Microsoft Office Suite; Advanced level of Excel preferred
 Proven ability to handle confidential, sensitive and critical issues
 Familiarity with process documentation, policies and procedures
 Travel, as needed
