Our client one of the world’s largest scientific membership association has an immediate need for an Exhibits Associate.

This position reports to the Senior Exhibits Manager and is responsible for assisting with the planning and logistical support for clients Publications exhibits program, including meetings and conferences promoting the journal program and other publications. This position includes: coordinating the planning and implementation of 50+ trade shows both domestic & international, assisting the Senior Exhibits Manager with the management of the substantial annual budget, coordinating work involving external vendors, helping with the RFP process for specific trade shows, arranging for booth space and show services, assisting with the planning and onsite logistics for all receptions, and coordinating other exhibit related programs and meetings.

Required Skills
• Uses problem solving skills to coordinate the development of the annual exhibit schedule in conjunction with Sales, Marketing and Product Management. Consults, schedules, attends and participates in the planning meetings for each exhibit in advance of each show.
• Serves as primary liaison to Team Worldwide & other shipping vendors. Produces and distributes a monthly inventory list of materials at Team Worldwide, site visits to Team Worldwide and performing audits with the marketing team.
• After analyzing the society’s meeting needs, coordinates meetings logistics for 50+ international and domestic exhibits, conferences, meetings, events and to include identifying and coordinating housing, ordering equipment and furniture, submitting orders to show management services, and other logistical service as needed.
• Coordinates the processing of all exhibit related invoices for the Senior Exhibits Manager to sign and keep budget database, providing updates on a regular basis.
• Actively manages special events as needed in close cooperation with the Senior Exhibits Manager including but not limited to the library focused meetings, and special events at the clients' Spring & Fall National Meeting.
• Coordinating efforts with Marketing to ensure that products are being promoted effectively through domestic and international exhibits. Actively supports exhibit activities on site by attending select conventions and trade meetings.

Required Experience:
College degree (relevant field) or equivalent experience; 3+ years of related experience; with a tradeshow, event management and meeting planning related experience. The candidate must be a team player with excellent organizational skills, strong oral and written communication skills, PC skills, and strong attention to detail. Must be able to manage multiple projects and be self-directed in a fast paced environment.
