Executive Assistant

Responsibilities
• Executes a wide variety of semi-complex administrative tasks, derived from the duties and responsibilities of the executive(s) served; specific functions performed for the assigned executive/executives include but not limited to: travel and expense reporting; coordinating and maintaining calendar appointments; food and voucher arrangements; security arrangements for visitors; research and data gathering; report preparation and distribution; scheduling and schedule monitoring; budget preparation and tracking; maintaining contact lists; arrange visits and tours for vendors and new recruits; inventory and manage test devices;
• Prepares confidential memos, correspondence, letters, business updates, meeting notes, spreadsheets, PowerPoint presentations; often prepares complex reports; proofs correspondence and reports
• Prepares routine memos, correspondence, letters, business updates, meeting notes; may prepare semi-routine reports
• Coordinates regular and special meetings and conferences, including preparing notes of meeting highlights and “to-do’s”
• May purchase or arrange for the purchase of supplies and equipment
• Handles incoming telephone calls; arranges and may participate in conference calls
• Performs routine to semi-routine administrative processes and tasks within the context of well-defined practices and methods
• May lead assigned parts or all of semi-complex
• Through personal time management and organization of work contributes to the processing efficiencies of assigned tasks
• Capable of leading initiatives, e.g., set up and manage new recruiting process

Basic Qualifications
• Has a basic knowledge of several administrative and support processes and procedures carried out in the assigned unit / work group • Candidates must have good computer background (Outlook, Word, Excel, etc...) and solid communication skills.
• Knowledge of SAP
• Minimum of 4-years of related work experience in generally comparable administrative functions
• Has basic research and data analysis skills capabilities
• Has advanced skills in communication; is sensitive to and able to work effectively with a diverse group
• Has advanced ability to organize work and to set priorities; has basic multi-tasking skills

• Ability to think on feet and take action without waiting for specific direction
• Ability to handle multiple projects and take initiative to get them completed
• An exceptional work ethic, organization and efficiency
• An excellent communicator, able to attract and engage
• A demonstrable interest in business, finance and/or technology
• Intellectual curiosity with the ability to assimilate complex concepts

Required Education Bachelor's degree or equivalent work experience
