Executive Assistant

Large Media and Entertainment company is seeking an Executive Assistant to support multiple executives within their Communications department. The ideal candidate should be interested in working within the Communications - PR team. This role has a possibility of being Temp-to-Perm.

Job Responsibilities:
• Provide administrative support to two VPs within the team.
• Interface with various departments and external organizations.
• Answer, screen and handle telephone calls.
• Schedule appointments and meetings.
• Draft and process memos, reports, correspondence, purchase orders, authorizations, and expense reports.
• Make travel arrangements and plan itineraries.
• Coordinate off and onsite events.
• Prepare, file and track expense reports.
• Maintain high standards of confidentiality with respect to all matters and documents.
• Review and distribute mail, file, and order supplies.
• Assist with various projects as needed.
• Assist in the creation of presentation materials and communications, if needed.

Required Qualifications:
• General administrative experience supporting senior level executives in a corporate environment.
• Proactive approach, careful attention to detail, and timely follow-through.
• Must be able to manage a very busy executive, keep them on schedule and manage expense reports in a timely manner.

Basic Qualifications:
• Proficiency in Outlook, Microsoft Word, Excel, PowerPoint and the ability to learn new programs if necessary.
• Knowledge of SAP desired.
• Must be able to effectively and professionally interface with high level Company executives and clients and be completely comfortable handling highly confidential information.
• Demonstrated ability to handle multiple priorities in a fast paced environment and to prioritize effectively.
• Must work well with others in a close team environment.
• Strong verbal and written communication skills are required as is the ability to work flexible hours on occasion.
