Executive Administrative Assistant

We're looking for an energetic and experienced Executive Assistant is responsible to perform advanced administrative, coordinating, and other clerical tasks critical to assist a department or function with daily operations. Responsible to act as a key department representative and interface; supports senior-most leaders. Great long term contract opportunity with a major Pharma company!!

Major tasks and responsibilities of position (max. 8 key topics)
• Responsible for calendar Management for principle and other staff
• Typically arranges meetings and /or community events on or off site
• May be responsible for negotiating contracts for meetings.
• Facilitates cross-functional communication as necessary to achieve objectives.
• May pull together a unique project team that has the necessary knowledge and perspective to resolve the specific issue.
• Proactively addresses interpersonal problems in a professional manner in order to avoid future conflicts
• Actively represents manager in meetings with customers / clients.
• Prepares reports and other documents, without direction, using independent thought and a thorough understanding of key information elements needing to be communicated.
• Uses a systematic decision-making approach to research, analyze, and provide feedback on issues, policies and procedures.
• Makes a systematic effort to obtain needed data or feedback; performing in-depth investigation from unusual sources.
• Does comprehensive investigation into issues and develops and implements solutions so the problems do not recur.
• Makes recommendations for changes and leads the implementation of processes and or projects.
• Works independently with only general guidance on a wide variety of activities.
• Uses independent judgment to plan, prioritize, and organize diversified workloads for self and other individuals.
• Takes responsibility for the progress of small to medium projects, which include multiple components and determines milestones and deadlines.
• Consistently balances multiple priorities ensuring that actions are aligned with priorities.
• Interviews prospective administrative staff. Provides feedback on selection decisions.
• Calls on past experience and insight into manager’s working style / preferences and independently takes action without being asked.
• May assist in developing, implementing, and monitoring internal operating systems and procedures.
