EXECUTIVE ADMINISTRATIVE ASSISTANT
LOCATION: San Francisco CA
CONTRACT: 5 Months | Mon-Fri | 40 hours/week
START DATE: 9/22/14
PAY: $15-$20/hour (based on experience)

A FORTUNE 500 RETAIL COMPANY NEEDS AN EXECUTIVE LEVEL ADMINSTRATIVE ASSISTANT TO JOIN THEIR TEAM!

THIS INDIVIDUAL WILL BE WORKING SPECIFICALLY FOR THE VP’S IN THE I.T. DEPARTMENT!

RESPONSIBILITIES:
• Manage daily workflow for VP's (calendar, email, voicemail, phone, contacts, group/team meetings, expense, filing, travel, presentations, copy/faxing, mailing,etc.)
• Manage calendar to maximize Leader efficiency and schedule meetings with internal and external business partners
• Manage technical support for office moves and equipment upgrades.
• Maintain office files and help keep leaders organized.
• Arrange onsite and offsite meetings and events as necessary: Coordinate scheduling and logistics (coordinate conference rooms, equipment and catering as needed) creating agendas and providing documents and other meeting materials as necessary.
• Stay abreast of organization changes; maintain accurate department organization charts, phone lists, email & voicemail distribution lists and reporting relationship tool.
• Manage new hire/contractor set-up including on-boarding, completing necessary forms for software, token id, badges, nameplate, mailbox, Web directory, CA-1 forms, new hire gifts, internet access, voicemail, card application, ordering IT equipment and ensuring workspace is ready
• Order supplies, office and computer equipment using iProcurement
• Develop strong partnerships with all levels of internal and external business partners.

QUALIFICATIONS:
• 5 years administrative experience preferred
• Excellent communication skills (written and verbal). Must also be organized and detail oriented, and able to work well with deadlines and multi-tasking
• Strong interpersonal/people skills; ability to establish and build partnerships with all levels of management and business partners
• Strong customer service skills
• Strong problem solving and follow up skills. Able to think independently, be proactive and take initiative
• Exceptional time management, prioritization skills, and an ability to be flexible in re-prioritizing
• Strong computer skills (e.g. Microsoft Office: Word, Excel, PowerPoint, etc.)
