Events/Registration Coordinator

Aquent's client, a large tech company headquartered in Mountain View, CA, is seeking an Events/Registration Coordinator for a 6 month assignment in their San Francisco location.

The client's Marketing Events team is comprised of experienced event marketing professionals who manage their highest profile events nationwide. We have an immediate need for an Registration Coordinator to support events nationwide. You will partner with the Events team to support registration, travel, hotel management and customer service across their largest events.

Top 3 Daily Responsibilities:
1. Develop and maintain event websites and registration forms using internal content management system and client Sites.
2. Manage registration processes including entering/modifying registration data, producing reports and registration lists.
3. Manage and execute event marketing or invitation strategy.

Additional Responsibilities:
-Assist and respond to attendee inquiries via email and/or phone in a timely manner.
-Manage onsite setup of registration check-in stations, badge printing and distribution of event materials.
-Management of onsite registration staff – creating processes and documents for a smooth process onsite.
-Update relevant event reporting on a monthly/weekly/daily basis, as progress and commitments are made.
-Partner with external travel and transportation agencies to support scope of work across events.
-Manage internal and external communication plan.
-Coordinate with event manager/marketing to create Post Event Report
-Actively use company systems to manage projects, i.e. Basecamp

Required Qualifications:
-BA/BS degree preferred (no specific field required)
-At least 2-3 years of event registration experience in a similar event registration role.
-Strong project management, customer service and relationship building skills
-Effective written and verbal communication, able to deliver clear, concise information tailored to specific and varied audiences
-Exceptionally detail-oriented and organized, ensuring quality and consistent output, ensuring accurate information for internal and external stakeholders
-Ability to effectively solve problems, think creatively, make decisions and take action, exercising independent judgment
-Technical understanding and experience with multiple registration platforms ( such as eventbrite, or similar platforms)
-Must be willing to travel for site inspections and events and work long flexible hours.

Nice to have's:
-Basic understanding of HTML a plus
-Ability to adapt, multitask and prioritize competing deadlines in an extremely fast-paced environment
-Must be self-motivated, articulate, and possess excellent verbal, written communications and strong interpersonal skills.
-Great at motivating agencies/vendors to do the best work of their career.
