Events Planner and Operations Manager

Aquent is looking for an Events and Operations Manager to manage all activities for customer visits and aiding in the administrative tasks associated with the daily operations of the facility. Knowledge of the NYC hospitality industry and experience coordinating business appropriate activities for customers is desirable; specific knowledge of the Chelsea and Meat Packing District neighborhoods is a plus (a working knowledge to direct Customers)

This role will also encompass a variety of support tasks, ranging from administrative to customer facing, including responsibility for managing and assigning all incoming customer visits. This role is integral to the success of the customer experience program and requires a strong attention to detail, a responsive sense of urgency, and exceptional flexibility, time management, and prioritization skills. Additionally, this position requires business etiquette savvy, as well as the ability to interact professionally with senior executives, sales teams, and customers from around the world.

CONCIERGE:
• Organize logistics of customer visits, with completion of final itinerary for each customer visit:
-Activities, sporting events, concerts, tourism, shopping etc.
-Transportation: limousines, buses & taxi cabs
-Dining: all aspects for off-site meals
-Hotel recommendations: assisting with reservations for groups of 10 or more
• Order, stock and maintain weekly inventory of gifts, flowers and welcome gifts
• Maintain promotional gift and florist vendor relations
• Coordinate with all support/facilities staff for general operation/upkeep of facilities.

REQUIREMENTS:
• Highly organized, detail oriented, strong time management, and multi-tasking skills.
• A strong work ethic and commitment to customer service.
• Poise and professionalism: comfortable interacting with sales teams, customers, and senior-level executives.
• A working knowledge of New York City (Chelsea neighborhood a plus) and a willingness to develop relationships with local hotels, restaurants, and entertainment venues. Creativity towards entertainment/tourism ideas a big plus.
• Highly flexible with excellent prioritization and problem solving skills with the ability to work through obstacles.
• Analytical Skills – Identifies/seeks out information/issues and then responds to the situation
• Excellent verbal and written communication skills.
• Solid familiarity with word processing, spreadsheet, and presentation software. Ability to quickly familiarize with web-based software tools essential.
• A team player attitude is critical.
