Events Marketing Assistant

*This is a 12-month, part time contractor position Mon-Fri 9AM-3PM. After a probationary period and depending on the work style of the individual, managers will consider expanding hours worked per week into a full-time position.*

*Will consider contractors in Boston; NYC; Hopewell, NJ; or Chicago locations.

Our Fortune 500 financial client seeks an experienced Events Marketing Assistant to assist with the self-creation of custom marketing materials by the event teams for multiple brands.

The coordinator will use a web-based tool (Marketing Materials on Demand/MMoD) to upload custom content and create their own invitations and Marketing Review Center (MRC) systems. Once created, draft projects are submitted for review by Corporate Brand and Compliance, who will provide approvals or changes. Once materials receive final approval, users can order printed copies for use in marketing events to clients and prospects.

The coordinator has two primary areas of responsibility:

· Work with Event Team members to begin the process for customized event invitations and other marketing materials

· Facilitate the submission, review and revision of draft projects by Corporate Brand and Compliance via the web-based Marketing Review Center (MRC)


· Respond to Event Team member requests for assistance

· Work with Brand, Compliance, or Local Administrative Management teams as needed to resolve more complex issues in regard to creating marketing materials

· Submit projects for review to online review tool

· Work with external creative vendors as needed

· Send Brand and Compliance comments back to Event Team members

· Communicate with Event Team members, to ensure that materials are up-to-date and either discarded or re-created within approved timeline.

· Maintain project spreadsheet to monitor and track status on all projects

· Light involvement Event Support (mailings, name badges, etc.) and Administrative Support (reporting, invoices, etc.)


· Working knowledge of collateral material development processes is highly preferred, but not required.

· Knowledge of financial services and/or compliance requirements and standards is a plus, but not required.

· Superior organizational skills with the ability to multi-task

· Able to prioritize and help ensure project timelines are met

· Must be exceedingly diplomatic, partner well within the organization, and be capable of bringing comments and concerns to manager

· Excellent problem-solving skills with the capability to apply past learning to present situations

· Broad experience working both independently and directly with diverse personalities in a high-volume, fast-paced, constantly changing environment

· Excellent listening/verbal/written communication and interpersonal skills

· Knowledge of MS Excel; ability to manage spreadsheets
