We are searching for an Event Coordinator to provide the Event Manager with support for overall production and logistics for tracking breakout sessions, keynote, and ancillary events. As the Event Coordinator you may maintain the Event Planning Sharepoint site to ensure documents are properly reviewed, guidelines are followed, hyperlinks are accurate and functional, messaging and formatting are consistent, tasks are completed via published work back schedule.

Other duties may include:
• Allocation support (reviewing spreadsheets, reports)
• Coordinate content review meeting rooms as needed
• Schedule, book rooms and facilitate event logistic core team meetings, team meeting notes, ensure work-back schedule is monitored
• Open PO’s, set up vendor accounts
• Manage Side meetings
• Create, clean event DL’s and keep updated with current event registrants
• Gather data and review with Event Manager to establish best practices and identify areas for improvement
• Manage session rooms logistics for requests outside of standard set up
• Manage collateral; signage requests, printing, awards, etc
• Assist with budget management
• Order and track event Food/Beverage spend
• Manage shipping of event items
• Onsite Event coordination
• Information desk
• Temp staff
• Signage placement
• Catering schedule
• Troubleshooting and escalation
• Session Tech Checks
• Tear down and shipping
• Provide content for post-mortem/post-show report (metrics reporting, analysis, year over year improvements)
