Seeking a highly organized, detail-oriented and high-energy Events Coordinator in Menlo Park. The role is responsible for assisting with the organization, orchestration and logistics for a broad range of events, programs and activities that underpin the foundation of the Research Operations and Academic Relations (ROAR) team. Responsibilities:

  • Organizing logistics related to events, programs and technical talks, hosting academic visitors
  • Partner closely with our 3rd party travel partner to manage travel and accommodation for hosted event guests
  • Ability to lead and organize events from start to finish with moderate direction & guidance
  • Update and maintain the ROAR events calendar and roadmap in conjunction with the Business Operations Associate
  • Provide top-quality client support for the coordination and seamless delivery of events
  • Prioritize and complete multiple tasks from multiple team members and follow through to achieve group as well as individual goals
  • Processing, tracking and maintaining payment information, reports including creation of supporting documentation
  • Performing administrative duties as required to support ROAR team activities

Skills:

  • 2+ years of experience planning and executing events including space reservation, travel, catering and publicity
  • Resourceful, action-orientated with the ability to get things done and overcome obstacles
  • Ability to manage and supervise onsite events and programs
  • Interpersonal skills, including relationship building and “roll-up one’s- sleeves” type of collaboration within a diverse, global, cross-functional team
  • Ability to learn quickly with experience in a fast paced, ever-changing environment
  • Ability to maintain confidentiality around sensitive information
  • Experience with client or customer service

Education:

  • BA/BS degree with strong academic background or equivalent experience
