Event Specialist

We are looking for an organized, meticulous and enthusiastic Event Specialist to joining their team part-time (20 hours a week) for a 2-month project on site in New York City. This Event Specialist should have a strong understanding of the event planning process. They should be hands-on in the 3 most important areas of event management.

Logistics: Responsible for venue search (create and manage RFPs), budget management, site selection, transportation, accommodation, entertainment, audio visual; building registration websites through Cvent and source and contract necessary vendors.

Content: Oversee and contribute to the development of speaker selection, printed materials, and content supervision.

Communication: detailed planning/ scoping of an event and manage pre-event communications and reporting, create project plans, liaise with event host, clients, and speakers; source and contract necessary vendors.


It is also critical that this person has experience working with Cvent. They will use Cvent to register new events, create invitations and websites for client-facing events (dine arounds), proprietary events (due diligence meetings, media luncheons) and internal events (National Sales Meeting, Town Halls) and create additional event-related communication emails (registration confirmation, decline/cancellation, event reminder).

This person will primarily be supporting the team by:

o Preparing ground transportation manifest

o Preparing/updating rooming list

o Ordering giveaways

o Printing/stuffing name badges

o Assisting with on-site execution

o Knowledge of event logistics (ie BEO, AV orders)

o Reserving internal meeting space & liaising with internal & external service providers (furniture rental, AV, catering) as applicable (Town Halls)

o Research in offsite dinner venues, budget proposals and contracting

Additional requested skills and experience for this role includes:

· Strong project Management Experience.

· Translate work produced into a PowerPoint presentation.

· Help with ad hoc assignments or process improvements as needed.

· Strong written and verbal communication skills; ability to be clear and concise.

· Strong project management and organizational skills.

· Ability to navigate and thrive in a large, complex, global organization.

· Flexibility to manage changing requirements and short timelines.

· Strong research skills.

· Microsoft Word, Excel, PowerPoint (need to put together presentations)

· Knowledgeable on event industry trends and best practice

Qualifications:

· B.A./B.S. degree required.

· 5+ Years’ experience in Event Planning

· 5+ Years’ experience in project management
