Aquent's Fortune 500 retail client is looking for an Event Space Coordinator available immediately to work a 1 year contract onsite in Plano, TX. Primary contact/liaison for standard meeting bookings, intaking requests and provide confirmation and solutions for meeting space management.
The ideal candidate is a multi-tasker with event coordinating experience and experience with space management databases.
Scheduling of all internal meeting space while keeping in mind labor savings - strategically blocking meeting space to maximize repeat sets and audio visual to save the team on labor resources.
Adds meeting setup detail to space management system to communicate to CBRE setup requirements for assigned meeting demographic.
Conducts weekly operations meeting with CBRE, AHI, Sodexo, and A/V Teams.
Assist with administrative duties as assigned by manager
Ensure that departmental supplies are kept up to par levels
Creation of meeting room diagram in meeting matrix/cad.
Submit RFP requests to CVB's, request collateral from hotels/event venues as requested, schedule site visits, tasting on behalf of the DCE/managers.
Responsible for the organization and upkeep of Events Storage Space.
Knowledge of Microsoft Office Suite with intermediate knowledge of Microsoft Excel
Familiar with space management database computer systems (Delphi, Daylight, CI/TY, Asure Scheduler, etc)
Excellent follow up and follow through skills
Ability to type, answer phones, provide excellent customer service and keep a positive attitude under stressful conditions and situations
Ability to stand or sit for long periods of time
Ability to lift 10lbs
Ability to multitask in high volume environment without error
Ability to work independently with minimal direction and problem solve but also know when to ask for
