Event Production Coordinator

A dynamic organization focused on making a difference in the world is seeking a hard-working production assistant and all around “road warrior” to help produce 35 events each year. Team fit is key in this organization which places the needs of clients and support of co-workers above all else. This role is a lynchpin in the delivery of events that are truly life changing.

The right candidate is someone whose high standards are the subject of frequent compliments, they have a work ethic second to none and attention to detail that leaves nothing to chance. You need to have an aesthetic eye and a sense of people that leads to creating magical event experiences.

- Support in managing all pre-production, event execution and post-event follow-up for events ranging from 5,000 person week-long events with the production value of a rock concert, to intimate international trips for 100 guests where each is treated like royalty.
- Conduct site selection and site visits including convention centers, hotels and independent activities.
- Negotiate contracts adhering to strict budgets. Strong skills and history in this area are a must!
- Create and manage budgets for events seeking competitive pricing and ensuring accurate and timely payments to all vendors.
- Support all corporate departments in their logistical needs onsite at events including transportation, accommodations, work space, coordination with technical and other vendors, etc.
- Create, manage and maintain strong working relationships with frequently used contractors and venue managers. An educated knowledge of technical production (sound and lighting) is preferred.
- Write and update event procedure manuals to record and archive best practices.
- Plan extraordinary, five-star international group trips for 100 top clients that are truly once in a lifetime experiences. Experience working with top hotels, venues and destination management teams in foreign countries is strongly preferred.
- This role requires frequent domestic and international travel for site visits and events, including weekends. Travel in first year is estimated at 40-50%.
