Event Planner - Global Events

The Event Planner is a critical support position within the Events business. It is responsible for supporting the team and activities across our Latin America portfolio of events. This exciting career opportunity will provide you with challenging assignments, travel to exciting locations, and tremendous experience. You will be part of a stable and expanding professional team collaborating to support the flawless delivery of events that are unique and critical to technology leaders globally

Primary Responsibilities
• Support flawless delivery and superior attendee experience across 6 events in Latin America – 5 Summits and 1 Symposium
• Ownership, management and superior customer service of the Latin America Operations communications – external client and internal event enquiries
• Ownership and management of the Latin America weekly registration reporting and final event attendance reporting for all active events
• Management of multiple ‘Event within Event’ responsibilities - end to end delivery e.g. Adhocs functions; VIP occasions, Special Events, High touch, EXP events. Effectively prepare, produce and update setback schedules for these events
• Liaise with different business units and team members to understand specific needs for event planning and production
• Effective project management including ownership and adherence of timelines and templates and accurately track and evaluate results on overall project goals for projects allocated to you
• Maintain budgets for projects allocated to you - raise and process invoices for payment in iProcurement, log expenses in budget tracking spreadsheets, reconcile events budget tracking with corporate GL
• Achieve budget goals, through close monitoring of revenue and expenses for projects assigned to you, alerting Latin America Event Manager about risks and deviations to plan, and make recommendations for corrective action
• Prepare and produce events support documentation including but not limited to agenda, evaluations, presentations, name badges and brochures, photography briefs, F&B schedules, radio controlling & event branding/signage
• Manage and maintain relationships with suppliers and Latin America local agency
• Work closely with Latin America Event Manager, and wider regional team to ensure event environments are created that provide urban needs for our audiences to learn, network and navigate the event effectively pre event and on site.
• Constantly evaluate the experience, feedback and results and implement changes accordingly. Create detailed post-event analysis reports and event de-briefs for review with manager/operations lead
• Work closely with Latin America Event Manager on helping implement new initiatives for Symposium and Summits
• Manage and support travel, transport and venue logistics for attendees and event team
• Be the internal point of contact with STG team, understanding its IT needs and being the point of contact with the venues to put those in place

Job Requirements

Expected Results
• Flawless operational support of 6 events annually – events achieves high client satisfaction ratings. Effective team collaboration
• Exceptional communication and collaboration across events team, event partners and key stakeholders to ensure effective implementation of the processes and sharing ideas from Client events.
• Bachelor’s Degree
• 3-4 years event planning
• Prior experience researching, negotiating contracts for meeting services and working with hotels and external vendors
• Prior experience in liaising with agencies
• In depth knowledge of the hotel, travel, meeting planning business is required, particularly in terms of normal service expectations and negotiations.
• Portuguese and Spanish are a plus
