Event Operations Specialist
Responsible for providing support in travel, procurement, and sourcing areas including, but not limited to, venue selection, payment reconciliation, and management of purchase order/contract processing.

Essential Duties and Responsibilities Include:
• Provides support as needed for meetings requests
• Track and manage event spend and reporting
• Manage requests for events: vendor set up, payment/contract status, credit card authorizations, and venue sourcing
• Work with designated travel agency to assist event planners with group air requests
• Oversee Oracle iProcurement and Apttus contract management system requests
• Review contracts in preparation for legal review and signature
• Work with suppliers to negotiate and accept LinkedIn addendum terms and conditions
• Reconcile event costs and process check requests, credit card transactions, and other payments as needed
• Work with internal contacts to follow up with approvals needed with contracts/requisitions
• Create, track, and respond to Hotel RFP sourcing requests. Gather responses for event planner review
• Assist with Hotel RFP: Working with 3rd party to manage hotel bids, new add requests, daily oversight of hotel bookings, project administration for 2015 Hotel RFP
• Travel operations administration: manage global travel inbox, troubleshoot issues, and assist/educate travelers.

Essential:
• Minimum of two (2) years of experience in some event planning/operations and travel.
• Quick learner-gets up to speed on systems/process quickly
• Experience with procurement processing activities, credit cards, contract management systems and travel.  Oracle iProcurement preferred.
• Highly skilled in time management to facilitate involvement in multiple projects
• Proficiency in e-mail and excel spreadsheet required.  Microsoft Office preferred.
• Professional manner and appearance.
• Must be able to take direction and work well with others
• Must be able to concentrate and perform accurately while meeting applicable productivity measures.
• Must be able to change productively and to handle other tasks as assigned.
