Event Assistant/ Coordinator

One of our valued clients is seeking an EVENT ASSISTANT / EVENT COORDINATOR for a temporary role, onsite Monday-Friday in Foxboro, MA

JOB SUMMARY: Provides administrative assistance and support to department operations and management to meet established objectives for quality, accuracy, timeliness, and completeness. Candidate will have excellent interpersonal and written communication skills. The ideal candidate should be a self starter with a proven ability to manage multiple deadlines with focused attention to detail.

ESSENTIAL FUNCTIONS:

1. Processes, prepares, maintains, and distributes a variety of documents, reports, and files to facilitate smooth operations, to ensure availability of complete and accurate data, and to support department objectives. These documents will be presented to senior level management and will need to be professional, polished and accurate every time.

2. Performs a variety of administrative duties to support the event management team, including creating and updating planning tools and reports, preparing presentation materials, managing hotel room blocks, prepping and shipping event materials, assisting with special projects, and providing onsite support.

4. Supports planning, production and execution of events hosted in the US and Canada, from large trade shows and customer events to small regional executions. This role will require occasional North American travel.

6. Responsibilities include, but are not limited to: pre-event planning, agenda development, guest list management, name badge creation, printing and shipping, related travel arrangements, event follow-up and reporting, etc.

7. On-site duties include, but are not limited to: ensuring proper set-up and signage, registration coordination, speaker management, interfacing with onsite vendors to ensure seamless event execution, etc.

8. Build and distribute regular pre-event status reports and post-event trip report. This includes update project timelines, reporting on registration status, reporting on room block status, and sharing upcoming event related deadlines.

9. Work closely with marketing, sales, product teams, PR, upper management, and field evangelists to achieve business goals via event marketing.

Basic Qualifications

- 1-3 years of relevant work experience in marketing B2B products or services preferred.
- Bachelor’s degree in business, marketing, communications, or relevant field of study.
- Superior oral and written communication skills with an innate attention to detail.

- Ability to manage time and juggle multiple priorities to execute high quality deliverables.
