Document Specialist

As Document Specialist, you'll create and edit customer- or template-driven deliverables with speed and accuracy. You'll finalize files for digital output, and may help with printing and duplication. You'll be expected to demonstrate and apply knowledge of the client's standard applications (software) and brand standards. By understanding and anticipating customer's need, you'll attempt to exceed their expectations. You'll be responsible for all phases of project management, including customer service, documentation and communications.

Although you'll receive direct supervision, you should be capable of working independently.


*Perform text typing and editing, formatting, mail merging and spell checking for certain types of documents and templates
*Incorporate revisions, and check punctuation, spelling and formatting. May check mathematical accuracy
*Import graphical and data images from other applications into documents
*Manage time and budget, and schedule resources, to meet deadlines and provide quality deliverables
*Keep up to date with software and equipment, including Microsoft Office applications
*Help with print production, and prepare files for printing
*Manage and archive electronic files to Creative Services Group (CSG) standards
*Produce effective projects quickly and accurately, to meet deadlines
*Understand and strictly adhere to the quality standards and procedures established by the client, including CSG standards and guidelines
*Utilize the database to confirm that all time and materials are billed correctly, and that project instructions and client interactions are fully documented
*Carry out random quality inspections

Knowledge and skills requirements:

*Demonstrated strong knowledge of styles, master pages, templates, macros, toolbars, line spacing and firm-standard formatting
*Ability to gain a solid knowledge of the company's brand/strategy. Create templates utilizing the Branding Zone standards
*Strong work ethic, with customer service, communication, interpersonal and teamwork skills
*Minimum 70 wpm typing speed
*Exceptional attention to detail
*Advanced skill in Microsoft Word (including styles and macros), Excel, PowerPoint, and basic knowledge of InDesign
*Proficient in statistical typing of numbers, text, tables, etc. for long periods of time
*Proficient in applying existing standards to new documents
*Ability to identify, resolve and overcome obstacles/problems, applying simple problem solving techniques


*A minimum of 4-5 years related experience


*Associate's degree, or equivalent work experience
