Design and Production Administrator (Office Administrator)

The search is on for a bright, super-helpful and switched on admin assistant to join this busy design studio in West London. This is a great opportunity for someone looking to carve out a career in design or account management who wants first hand experience of the goings on within a fast-paced and varied studio team.

You will be working closely with the Head of Design and Senior Creative Manager to support them across all admin needs of the studio team. You will need excellent organisational skills, able to work to tight deadlines with meticulous attention to detail and have a calm and professional outlook.

This is a 6 month contract so you must be able to commit to that length of time and be able to start at short notice.

About the role

  • Act as the first point of contact for internal and external clients, suppliers and contractors to assist with any queries and provide excellent customer service.

  • Manage the studio email account, log projects onto the system, and prepare briefing packages for the design team.

  • Provide overall support to the design team with anything from diary management through to printing documents, managing emails, filing and managing holiday requests.

  • Complete daily studio administration (invoices, purchase orders, expenses, monitoring operational budgets, contract preparation, file management, booking and organising meetings, booking travel arrangements and archiving).

  • Responsible for weekly Health and Safety compliance checks, compiling and filing paperwork relating to this.

About you

  • You must have a high level of written and verbal communication skills, able to deal with a wide variety of stakeholders with a professional and helpful approach.

  • Previous experience of office administration..

  • Be organised, have the ability to multi-task, plan ahead, yet be agile and flexible to respond to the changing  priorities and needs of the team while remaining calm.

  • Enthusiastic with a genuine interest in design.

  • Enjoy managing and prioritising a demanding workload.

  • An understanding of how large organisations or busy commercial studios work would be ideal.
