General Job Description and Essential Functions:

Design Project Management:

  • Manage the creative workflow and deliverables for large and small-scale projects such as events, in-store point of purchase programs at the retail level, corporate events, print and digital collateral.
  • Collaborate with the design team on proper file format allocation per project. Example: Should final files be InDesign files, Illustrator files, a hi-res printable PDF. (The design team will create these files, but this position will partner with design and the client base on which file formats are applicable per project.)
  • Work as liaison between Design and Clients and Vendor partners.
  • Work with Design to source, and manage assets.
  • Proof creative before it goes to the client and potential Vendor partners.
  • Manage and communicate project schedule and budget to the internal team, client, and vendor partners. Be solution orientated in trying to execute great design with limited budgets and tight timelines.
  • Provide initial budget to client and internal team and budget updates as needed. Provide final accounting and margin goals to the supervisor prior to billing the job.
  • Manage expectations proactively. Provide full disclosure of project status, budgets, and actions to the internal team and client base as needed.
  • Ensure appropriate level of quality is achieved on all projects.
  • Issue PO’s in a timely manner and contracts as appropriate.
  • Knowledge of graphics processes and materials is a plus but not mandatory for this position.


  • Communications Skills:
  • Presentation skills are a must. Being able to present budgets, timelines, and project concepts to multiple-stakeholders in an engaging manner is critical to this position.
  • Ability to multi-task in a fast paced environment with tight deadlines.
  • Ability to communicate solutions or resolutions to a client or vendor thus making difficult situations suitable to everyone involved. Must be able to communicate clearly, positively, and objectively with the internal team, clients and vendors.
  • This position entails writing estimate requests, purchase orders, budgets to clients, recaps and emails in a professional, clear, and concise fashion that furthers the company’s good standing with clients and vendor partners.
  • Act as the liaison between clients, team members, (i.e. designers), and vendor partners by creating, and communicating, project scope, schedules, and budgets. Proactively strategize, and communicate, possible obstacles that may compromise the agreed upon timeline and budget.
  • Ability to participate in weekly internal meetings by sharing key learning’s from various projects.


  • Reports To: Senior Account Representative or Account Director.

    Computer Operations:
  • Outlook, Word, Excel – Should be able to understand, and maneuver within, an Excel spreadsheet.
  • Basic adobe functions: Open, and understand, PDF’s and JPG’s. A familiarity with file formats such as InDesign, Illustrator, PowerPoint, and Photoshop. You do not have to be an expert in these applications, they are applications used by the design team, but a basic ability to open these file formats and understand them is key to success.
  • Chrome and Firefox.
  • Calculator: Basic addition, subtraction and margin calculations.


  • Miscellaneous:
  • There is occasional evening and weekend work depending on client and project needs and expectations. This weekend work may occur without prior notice.
  • Dogs are a part of the culture at this agency; there are dogs on the premises daily.
