Creative Services Traffic Coordinator


The Global Creative Services Department designs and executes print and electronic collateral for the company global community, and maintains the equity and integrity of the brand in internal and external communications.

The Creative Services/Traffic Coordinator processes and tracks all job requests to ensure projects run smoothly from start to finish.

Summary
This position processes creative requests, gathers and organizes information, schedules projects and tracks their progress. He or she works closely with the director of global creative services, global creative services coordinator, Creative Lead, designers and GMS team to get projects done on time and with a high degree of quality and accuracy.

Experience/qualifications
• Minimum of two years’ experience in similar role in an in-house design department, advertising agency or design agency
• Web and digital project management essential
• Knowledge and experience with printing is required

Primary responsibilities
• Work closely with the CS Creative Lead to assign projects to the design team.
• Schedule kick off calls with project team to identify deliverables, clarify expectations and negotiate timelines
• Monitor the progress of projects – web, print, trade show, etc. - to ensure deliverables are on-brand and meet agreed timelines
• Ensure all requests are responded to and executed
• Proofread and quality check work for accuracy; ensure it adheres to brand standards
• Generate and distribute weekly status reports, create in-depth quarterly reports to include both qualitative and quantitative data
• Manage the Workflow project management system: act as main contact with system developers to troubleshoot, improve and update system functionality and usage, Set-up new users and schedule appropriate training; respond to and resolve any queries and technical issues from users, develop and update user guides and manuals; respond to and resolve any queries and technical issues from users
• Respond to all requests for images and logos
• Act as point person for printing requests
• Manage internal creative services roster; process new vendor paperwork. Manage third party suppliers; process invoices


Requirements
• Located onsite in Waltham, MA
• Bachelor's degree in Advertising, Communications, Marketing or related field
• Excellent interpersonal, communication and customer relationship skills
• High ability to organize complex tasks
• Adept at technology
• Capability to work effectively and interact with a wide variety of individuals
• Ability to organize and handle multiple tasks and deadlines. Outstanding attention to detail and accuracy
• Excellent proofreading and grammar skills
• Proficient in use of Adobe Professional and MS Office (Excel and Power Point in particular)
• Background in medical or healthcare marketing is a plus
• Background and experience with a global company desired
